Job Responsibilities

The Aviation Fuel Operations Coordinator is tasked with overseeing the administrative functions of the airport's fuel management. Key responsibilities include:

  • Coordinating fuel procurement and tracking deliveries
  • Ensuring precise invoicing and billing for fuel services
  • Maintaining comprehensive records of fuel transactions and inventory
  • Assisting in the preparation of reports and analyses regarding fuel consumption and expenses
  • Collaborating with suppliers, airline clients, and internal teams to facilitate seamless fuel operations

WHAT TO EXPECT AS AN AVIATION FUEL OPERATIONS COORDINATOR

· Enjoy teamwork focused on shared objectives

· Supervise the administration of fueling activities at the airport

· Liaise with fuel suppliers and airline partners for delivery and distribution

· Manage fuel inventory and place orders to maintain a steady supply

· Monitor and document fuel dispensing to aircraft and ground support vehicles

· Ensure adherence to safety protocols and environmental regulations in fuel handling

· Develop and implement effective fuel management procedures

· Exhibit strong attention to detail

· Collaborate effectively with team members or work independently to achieve goals

· Build lasting relationships with clients

Physical Requirements:

· Primarily sedentary role with extended periods of sitting, occasional mobility in an office setting

· Ability to lift items weighing up to 25 pounds

· Must be able to hear and respond to verbal communication and alarms in an office environment

· Capability to access and interpret information in both printed and electronic formats, utilizing adaptive technologies as needed

· Communicate effectively with colleagues and clients, both in-person and electronically

· Tasks may involve repetitive wrist, hand, and finger motions due to continuous typing or writing

Qualifications

· Minimum age requirement of 18 years

· Proficient in reading, writing, speaking, and understanding English, including comprehension of documents

· Previous experience in administrative roles, ideally within the aviation or fuel supply sectors

· Strong organizational and data management capabilities, emphasizing accuracy and detail

· Proficient in Microsoft Office Suite and familiar with database management

· Excellent communication and customer service abilities

· Capacity to multitask and perform effectively in a fast-paced environment

· Knowledge of fuel supply and distribution processes is a plus

· Comfortable utilizing computers, mobile devices, and tablets

· Must be able to pass a drug screening

· Eligible to obtain necessary credentials and clearances (FAA, TSA, Port Authority, U.S. Customs, and U.S. Postal as applicable)
