Job Overview

The Compensation and HR Information Systems Specialist plays a crucial role in payroll management and HRIS oversight, delivering essential support to the Human Resources Department, management, and staff throughout the organization. This position is pivotal in ensuring the accuracy and efficiency of payroll operations in alignment with corporate policies and legal standards.

Core Responsibilities:

Payroll Management:

  • Process bi-weekly payroll for all personnel with precision.
  • Guarantee adherence to payroll regulations at federal, state, and local levels.
  • Update and maintain payroll documentation, including employee modifications, salary changes, deductions, and garnishments.
  • Address payroll-related inquiries and discrepancies from staff.
  • Provide educational resources to management and employees regarding payroll matters.
  • Generate and distribute payroll reports as required by leadership.
  • Calculate and manage federal and state tax withholdings, social security contributions, and retirement plan contributions.
  • Collaborate with external payroll services for compliance in termination payments.
  • Act as a Subject Matter Expert for payroll-related inquiries.
  • Assist with Leave of Absence (LOA) payment processing and reporting.

Time and Attendance Oversight:

  • Lead the administration of Time & Attendance, ensuring accuracy in ADP approvals.
  • Review timesheet submissions, identify missing entries, and communicate with employees and supervisors to resolve issues.
  • Guide and train management on payroll and timekeeping processes.

System Configuration and Maintenance:

  • Work with ADP to configure and maintain system features and company parameters.
  • Ensure alignment of Time & Attendance policies with company guidelines and conduct audits.
  • Provide initial support for ADP-related inquiries.

Compliance and Auditing:

  • Conduct audits of payroll data for accuracy and reconcile payroll deposits and deductions.
  • Maintain compliance with federal regulations and internal controls.
  • Stay informed on changes in payroll laws and regulations.
  • Prepare and submit necessary payroll tax filings and reports.
  • Assist with internal and external payroll audits.

Reporting and Documentation:

  • Create HRIS reports to support HR and business functions.
  • Assist with quarter-end and year-end activities to ensure accuracy in tax filings.
  • Document payroll procedures and develop user guidelines.

HRIS Management:

  • Maintain the HRIS for accuracy and integrity of employee information.
  • Train HR personnel on HRIS functionalities.
  • Ensure data confidentiality in compliance with company policies.

General HR Support:

  • Support onboarding and offboarding processes by updating payroll and HRIS systems.
  • Provide assistance with benefits administration as required.
  • Deliver exceptional customer service regarding payroll and HRIS inquiries.

Qualifications:

  • Education: Bachelor's or Associate's degree in Human Resources, Business Administration, Accounting, or a related field preferred.
  • Experience: At least 3 years of experience in payroll processing and HRIS management.
  • Skills: Strong knowledge of payroll regulations, proficiency in payroll processing, and excellent analytical skills.
