Executive Support Specialist

We are seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive support to our CEO and senior leaders, ensuring smooth operations and enabling our executives to focus on driving the company's strategic initiatives.
Key Responsibilities:- Calendar and Schedule Management: Oversee and coordinate the CEO's and leadership's complex schedules, ensuring prioritization of high-level meetings and effective time management.
- Travel Coordination: Organize domestic and international travel arrangements, including itineraries, accommodations, and transportation, while managing expenses and preparing travel-related reports.
- Meeting Preparation: Prepare agendas, take meeting minutes, and follow up on action items for key leadership meetings.
- Communication Management: Act as the first point of contact between executives and internal/external stakeholders. Screen and direct calls, emails, and requests as needed.
- Project Management: Assist with the coordination of special projects and ensure timely completion of tasks related to company initiatives.
- Document Management: Maintain organizational systems for files, reports, and presentations, both in physical and digital formats, ensuring easy access for the team.
- Confidentiality: Handle sensitive information with the utmost discretion and professionalism.
- Experience: 3+ years of experience as an Executive Assistant, preferably in a tech or fast-paced startup environment.
- Exceptional organizational and multitasking abilities.
- Advanced proficiency in Google Workspace (formerly G Suite), including mastery of Google Docs, Sheets, Slides, and Drive for efficient collaboration, data management, and document creation.
- Strong verbal and written communication skills.
- High level of professionalism and confidentiality.
- Ability to anticipate needs and act as a problem-solver.
- Time Management: Ability to prioritize and manage time effectively, especially when juggling competing demands.
- Industry Knowledge: Experience in the technology or automotive industry.
- Education: Bachelor's degree in Business Administration, Communications, or a related field.
- Additional Skills: Familiarity with travel coordination for C-suite executives.
- Personal Attributes: Strong emotional intelligence, resourcefulness, and adaptability to evolving tasks and priorities.
