Job Summary

We are seeking an experienced Office Manager to join our team at Southern Illinois University School of Medicine. The successful candidate will provide administrative support to assigned faculty and areas within the Smith Alzheimer's Center.

Key Responsibilities
  • Establish and maintain calendars for the Director and assigned faculty, ensuring timely notifications and coordination of commitments and deadlines.
  • Provide administrative support, including preparing reports, maintaining filing systems, and coordinating travel arrangements.
  • Serve as a liaison between the Director and external agencies, communicating effectively and resolving problems that require interpretation and explanation of administrative policies and procedures.
  • Screen incoming calls, relieving the Director of personal contacts, and compose/transcribe complex academic and research materials, including letters, memos, reports, and grants.
  • Coordinate meetings, events, and conferences, including planning, organizing, and executing all details, and managing RSVP lists.
  • Work closely with the grants and contracts office to ensure all aspects of grant submissions are complete, and interact with faculty/staff on other departments within SIU.
  • Perform other duties as assigned, including providing support to the Director and assigned faculty with their appointment and involvement on editorial boards, ad hoc manuscript reviews, grant reviews, and committees.
Requirements
  • High school diploma or equivalent.
  • Two (2) years (24 months) of work experience comparable to the third level of this series.
