Job Description Summary

As a Senior Administrative Assistant at GE Aerospace, you will provide direct support to leaders within the Quality organization. This role requires attention to detail, the ability to meet tight deadlines, and switch direction at a moment's notice. A high level of integrity in handling confidential information is required.

The ideal candidate can exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and organizational skills.

Essential Responsibilities:
  • Assist in planning Quality team events, including arranging location, catering, lodging, communication, and coordination with attendees.
  • Provide calendar, meeting, and conference management, proactively coordinating calendar and anticipating issues.
  • Coordinate complex domestic and global travel arrangements, create travel itineraries, arrange for visas, transportation, lodging, and other needs while traveling, and communicate with leaders to ensure they are informed of all issues arising.
  • Process and reconcile T&L expense accounts.
  • Work closely and effectively with leaders to keep them well-informed of upcoming commitments and responsibilities, following up appropriately.
  • Maintain discrete and confidential handling and coordination of sensitive and/or legally privileged company and personal executive information.
  • Prepare, track, and coordinate mail and shipments for the organization, and effectively acquire and maintain inventory of office supplies and equipment within budget constraints.
  • Identify necessary credentials to ensure proper access to employees, both US and Foreign Nationals, as well as visitors, to protect GE Proprietary information and comply with government regulations.
  • Manage new hire working space, office moves, update floor plans, report building issues, and communicate as necessary.
  • Maintain office equipment, report any issues, or request service to keep equipment operational.
  • Custodian of organization resources and budget.
  • Manage contacts using Outlook to conduct up-to-date database entry, track and manage highly classified correspondence, and facilitate relationships with key stakeholders.
  • Help keep organization charts, phone lists, and birthday lists up to date.
  • Able to travel domestically and internationally as needed.
  • Assist with coordination of team communications, including intranet, email, PowerPoint, and other mixed media.
  • Assist with special projects as assigned.
Minimum Qualifications/Requirements:
  • Minimum of 3 years of administrative support experience.
  • Associate degree or High School Diploma/GED from an accredited school or institution.
Desired Characteristics and Experience:
  • Experience working in and navigating computer applications such as SSS, Excel, SAP, and Gensuite.
  • Ability to perform basic functions in Excel, including navigating to files, data input, copy and paste, and sums.
  • Detail-oriented.
  • Work experience in a manufacturing environment.
  • Strong communication skills and ability to learn and understand all policies, practices, and procedures.
  • Ability to multitask.
  • Strong sense of priority.
  • Strong interpersonal skills.
  • Ability to work independently and solve problems.
  • Strong team player and desire for hands-on approach.

This role requires access to U.S. export-controlled information. If applicable, final offers will be contingent on the ability to obtain authorization for access to U.S. export-controlled information from the U.S. Government.
