Job Overview

The Maine Legal Group is seeking a highly organized and detail-oriented legal assistant to support our attorneys and paralegals in providing exceptional client service. As a key member of our team, you will be responsible for preparing legal documents, handling office correspondence, and ensuring the smooth operation of our office.

Key Responsibilities:

  • Draft and prepare legal documents, including client case updates and closing letters, under the supervision of a professional legal administrator and criminal attorney.
  • Follow all aspects of a case matter from start to finish, ensuring timely and accurate completion.
  • Work within the firm's established policies and procedures for processing client communications, court paperwork, and internal and external documents.
  • Communicate effectively with courts, agencies, vendors, clients, and potential clients via phone and email.
  • Draft and prepare Motions for attorneys and track the status through to updating clients.
  • Ensure client billing is processed properly using daily time records.
  • Perform other administrative tasks as needed to support the firm's operations, including scanning, photocopying, and filing.

Requirements:

  • Minimum of 1-2 years of experience working in a law firm or professional office environment, with a focus on administrative tasks, scheduling appointments, and CRM software.
  • Ability to work effectively in a fast-paced environment, meeting deadlines with quick turnaround times.
  • Proficiency in Microsoft Office products and comfortable working with legal software, case management, and docketing programs.
  • Strong organizational and communication skills, with a focus on customer service, listening, and problem-solving.
  • College degree preferred, but significant legal work experience will be considered.
