Position Summary

The Administrative Operations Coordinator plays a crucial role in supporting advisors by managing client account documentation, overseeing data management, and ensuring smooth office operations.

Key Responsibilities

  • Oversee daily operational functions of the firm utilizing various web-based applications and Microsoft Office 365.
  • Manage the firm's customer relationship management (CRM) system.
  • Facilitate the onboarding process for new clients and handle various client service tasks.
  • Assist with billing processes and ensure compliance with regulatory standards.
  • Provide assistance to Partners/Wealth Managers, including data entry and client setup for financial planning and portfolio management.
  • Update and maintain the firm's website and professional social media presence.

Qualifications

  • Excellent customer service, organizational, and analytical skills.
  • Ability to prioritize tasks, adapt to shifting priorities, and perform under pressure.
  • Proficient in computer applications, particularly Microsoft Windows and Office.
  • Familiarity with CRM systems is advantageous.
  • Outstanding organizational and time management abilities, with a keen ability to follow directions accurately.
  • Self-motivated and capable of completing tasks with minimal supervision.
  • Must exhibit a positive attitude and be a collaborative team member.
  • A High School Diploma or GED is required; college education is preferred but not mandatory.
  • A minimum of two years of relevant work experience is required, with a preference for candidates with financial services experience.

Compensation and Benefits

  • Competitive hourly wage based on industry standards and individual experience.

Work Schedule

Monday to Thursday, 9:30 a.m. to 5:00 p.m., on-site.
