POSITION OVERVIEW
The Specimen Referral Coordinator is tasked with the packaging and dispatching of specimens, ensuring compliance with all federal and organizational regulations and protocols for items sent to external testing facilities.
This role oversees the workflow of outgoing specimens and keeps track of incoming time-sensitive samples that necessitate additional analysis.
Serves as a resource for other departments regarding referral testing.
Conducts all activities in accordance with established policies, procedures, regulatory standards, and professional guidelines.
KEY RESPONSIBILITIES
1.
Collects and organizes specimens for transport to referral laboratories.
Ensures proper packaging and shipping of referral specimens in line with all relevant federal and state transportation regulations.
2.
Maintains comprehensive knowledge of specimen requirements for both internal and external testing.
Identifies sample quality, quantity, and temperature conditions necessary for all referral tests.
3.
Responsible for addressing complex referral testing challenges, including resolution of TIQ issues, investigations of missing or lost specimens, and TASK resolution.
4.
Accountable for verifying the accuracy of insurance and billing information, determining if further details are needed to avoid billing discrepancies.
Utilizes prioritization and multitasking skills to ensure completion of daily tasks within designated timeframes.
6.
Assists in training new staff and contributes to the development and validation of all TSO procedures.
PHYSICAL REQUIREMENTS/ENVIRONMENTAL FACTORS
Must be capable of standing for extended periods of up to three hours.
Must be able to work in refrigerated environments for prolonged durations.
KNOWLEDGE, SKILLS, AND ABILITIES
Ability to work autonomously.
Ability to juggle multiple tasks in a fast-paced setting with frequent interruptions.
Ability to learn and navigate various LIS systems.
Proficient PC skills, with experience in Windows, Excel, and database applications.
Ability to make independent decisions and apply knowledge-based judgment in non-routine scenarios.
Ability to utilize various communication tools to address inquiries regarding problem resolution, result inquiries, and specimen requirements for all referral testing, emphasizing teamwork and a focus on customer service.
Demonstrates personal maturity and accountability.MINIMUM REQUIREMENTS
Must be at least 18 years of age.
High school diploma or equivalent.
Demonstrated intermediate-level PC proficiency.
Basic understanding of medical terminology and specimen identification.
PREFERRED QUALIFICATIONS
Familiarity with Lean or Six Sigma methodologies.
Additional relevant education and/or experience.
At least twelve (12) months of clinical laboratory experience or equivalent.
