Summary/Objective
The Parts Warehouse Specialist plays a crucial role in delivering exceptional customer service and sales support in alignment with company policies. This position serves as the main point of contact for both retail and wholesale clients, as well as service department personnel, to facilitate the sale of necessary parts and accessories.
Key Responsibilities
- Guides all retail customers in accurately identifying required parts, suggesting complementary items, promoting special offers, and ensuring they are informed of all available options.
- Retrieves purchased parts from inventory; if items are unavailable, assesses stock levels, prepares requisitions, and submits orders as necessary.
- Maintains precise records of special order parts.
- Handles incoming calls, providing pricing information and other relevant details to customers.
- Processes phone orders, adhering to established procedures and completing all necessary documentation.
- Supports outside sales representatives with their orders.
- Manages orders for daily shipment, delivery, or customer pick-up at the counter.
- Regularly verifies 'will call' and 'back-order' files, returning items to vendors or restocking as needed.
- Displays parts attractively to enhance sales opportunities.
- Replenishes assigned inventory on a daily basis.
- Assists service drive personnel in selecting parts required for ongoing repairs.
- Orders parts not in stock for necessary repairs, following company guidelines.
- Obtains credit authorization as required, in line with company policies.
- Ensures all transactions, including cash, credit, charge, purchase orders, invoices, and tax-exempt sales, are processed according to company standards.
- Issues credits for returned parts, adhering to company policies.
- Follows up on special orders and promptly informs service drive staff upon receipt.
- Maintains inventory organization on shelves and in bins by reporting items needing reordering, identifying discrepancies, and returning unsold items to stock.
- Conducts inventory control activities and audits as directed by supervisors.
- Ensures high-quality service is provided to both external and internal customers.
- Collaborates with service drive employees to ensure timely availability of parts for internal jobs.
- Addresses customer concerns and complaints promptly, escalating issues to the Parts Department Manager as necessary.
- Builds and maintains strong working relationships with service drive and sales departments.
- Fosters positive relationships with retail and wholesale customers to encourage repeat business.
- Completes all necessary documentation in accordance with company policy.
- Utilizes appropriate safety equipment and adheres to company policies and regulations.
- Stays informed about new equipment and tools available, recommending purchases as needed.
- Maintains cleanliness in work areas and customer waiting areas.
- Adheres to attendance and punctuality standards, following timekeeping protocols.
- Complies with the Company Code of Business Ethics and Conduct.
- Understands and follows all work rules and procedures, taking lawful directions from supervisors.
- Upholds the company's confidentiality policies and agreements.
- Maintains a professional appearance in accordance with company standards.
- Participates in relevant training as requested.
- Attends company meetings as required.
- Performs other duties as assigned.

Work Environment/Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This position requires medium to heavy work, including lifting over 50 pounds with assistance and frequent lifting of objects weighing up to or over 35 pounds. The employee will be required to stand for extended periods and perform various physical activities such as pushing, pulling, climbing, stooping, kneeling, reaching, grasping, and walking regularly. This role also requires the ability to hear and speak clearly, as well as perform repetitive motions throughout the day.
Position Type/Expected Hours of Work
Availability to work evenings, weekends, and holidays as required.
Required Education and Experience
High school diploma or equivalent, with one year of related experience or a combination of education and experience.
Preferred Education and Experience
Associate's degree or equivalent, with two years of related experience and/or training, or a combination of education and experience. A minimum of one year’s experience in a service drive or at an auto parts retailer or wholesaler is preferred.
Additional Qualifications
ASE Certification and i-Car Certification are preferred but not required. A valid Driver's License is required.
Safety Sensitive Position
This position involves working with hazardous materials and tasks where a lapse in attention could result in injury.
