Position Title: Mail Handler

Department: Production

Reports to: Department Manager

Location: Virginia

Employment Type: Full-Time, Monday – Friday, 4:00 p.m. - 1:00 a.m.

Compensation: Weekly Pay, starting at $27,040-$28,040 annually based on experience

Shift Differentials:

  • 2nd Shift: +$1.00/hour
  • 3rd Shift: +$2.00/hour

Benefits: Begin after the first two full months of employment

Salary is determined based on experience and qualifications.

Position Summary

The Mail Handler plays a crucial role in the effective management of incoming and outgoing mail within the organization. This position is vital for ensuring that all mail items are sorted and delivered accurately and in a timely manner, thereby supporting the overall operational efficiency.

Key Responsibilities

The primary duties include, but are not limited to:

Mail Sorting and Distribution
  • Sort incoming mail by department or recipient.
  • Distribute mail to designated areas.
  • Ensure prompt and accurate processing of all mail items.
Mail Processing
  • Prepare outgoing mail for dispatch, including weighing, labeling, and applying postage.
  • Operate mail processing machinery.
  • Manage bulk mailings and special mail services as needed.
Record Keeping and Reporting
  • Maintain precise records of incoming and outgoing mail.
  • Track and log registered, certified, and express mail.
  • Generate reports on mailroom activities as required by management.
Customer Service
  • Assist employees with inquiries related to mail services.
  • Resolve issues concerning mail delivery and processing.
  • Provide exceptional service to both internal and external stakeholders.
Mailroom Maintenance
  • Ensure the mailroom is clean, organized, and secure.
  • Monitor and manage mailroom supplies, ordering new supplies as necessary.
  • Maintain mailroom equipment and report any malfunctions to the supervisor.
Compliance and Security
  • Adhere to company policies regarding mail handling and confidentiality.
  • Follow safety protocols to protect sensitive information.
  • Assist in implementing and maintaining mailroom security measures.
Minimum Qualifications
  • High school diploma or equivalent.
  • Prior experience in a mailroom or similar environment is preferred but not mandatory.
  • Strong organizational skills and attention to detail.
  • Ability to operate standard mailroom equipment.
  • Basic computer skills, including familiarity with email and data entry.
  • Excellent communication and customer service skills.
  • Ability to work independently and collaboratively.
  • Reliable and punctual with a strong work ethic.
  • Flexibility to work varying shifts if necessary.

Decisions typically affect the position or specific functional area. Problems encountered are routine and can generally be resolved by following established procedures.

Independence of Action

Work progress is monitored by the supervisor. The incumbent follows established procedures and may set priorities within general guidelines.

Physical Demands and Work Environment

The physical demands of this position include:

  • Work performed in a warehouse or production facility environment.
  • Exposure to varying temperatures, noise, and dust.
  • Ability to lift 50 pounds, push 300 pounds on a load-bearing cart, carry 25 pounds, and pull 300 pounds.
  • Frequent standing, walking, crouching, bending, kneeling, lifting, and using repetitive motions.
