Position Summary

The Loan Operations Clerk plays a vital role in managing the daily operations related to consumer and mortgage insurance. This position involves the meticulous input of loans, verification processes, and regular check-ins, ensuring compliance with both state and federal regulations, as well as company policies and established Standard Operating Procedures (SOPs). Collaborating within a team is essential to facilitate the smooth progression of loans through the pipeline.

Key Responsibilities

Support sales and loan department personnel as required, striving to meet or exceed the defined Service Guarantee commitments. Uphold the Bank's reputation by interacting with both internal and external customers in a professional and courteous manner, whether in person, through written communication, or over the phone. Ensure strict adherence to compliance standards, including the Bank Secrecy Act (BSA), while maintaining high-quality documentation and timely processing of loans.

Essential Duties
  • Organize and distribute incoming insurance correspondence, tracking all non-escrowed mortgage-secured loans exceeding $100K and forwarding to the appropriate vendor.
  • Manage daily mortgage insurance correspondence, reviewing cancellations and reinstatements, and ensuring timely processing of monthly PMI disbursements.
  • Process incoming contracts promptly, ensuring all files are complete and notifying relevant parties of any missing documentation.
  • Monitor the Credit Admin InBox, addressing all requests by the end of the business day.
  • Accurately cash incoming indirect contracts and track loan packets received from sales offices, ensuring all final signed documents are accounted for.
  • Book various types of loans into the FISERV Signature Core Banking System, ensuring all outstanding billings are processed.
  • Review daily and monthly reports to ensure all tasks are completed and documentation is accurate.
  • Conduct loan verifications and prepare necessary documents for input and imaging.
  • Coordinate with Loan Officers and title companies to schedule closing appointments.
  • Perform final quality checks on loans and prepare necessary disbursement checks and wire transfers.
  • Execute post-closing verifications and prepare payoff letters or releases of collateral as needed.
  • Maintain file coverage for team members and provide backup support for various tasks.
  • Process all insurance premium disbursements and assist with maintenance items such as automatic transfers and payment adjustments.
  • Ensure timely completion of all auto debits and HELOC orders.
  • Conduct audits and verify lien documentation as required.
  • Balance and verify daily transactions, resolving any discrepancies.
  • Report any suspicious activities to a supervisor and conduct periodic risk reviews.
  • Adhere to all established regulations, policies, and procedures, maintaining confidentiality and customer trust.
  • Engage in ongoing training to enhance skills and compliance knowledge.
  • Perform additional duties as assigned.
Qualifications & Skills
  • High school diploma or equivalent, with at least 2 years of experience in processing various types of loans. A college degree in business, finance, or a related field is preferred.
  • Familiarity with agency guidelines and industry standards related to loans.
  • Strong organizational, time management, and communication skills.
  • Ability to prioritize tasks and follow detailed instructions.
  • Proficient in typing and computer skills, with the ability to perform complex calculations.
