Job Title: Financial Accountant

We are seeking a skilled Financial Accountant to join our team at ProSearch Recruiting Group. As a key player in our financial operations, you will be responsible for accurately and efficiently managing and processing vendor invoices, ensuring timely payments, maintaining vendor relationships, and complying with internal policies and legal requirements.

Key Responsibilities:
  • Review, verify, and process invoices and expense reports for our operations (parts, services, warranties) and general overhead expenses.
  • Manage invoices received via system's Incoming Documents, mail, and downloads from Vendor websites.
  • Verify that invoice charges are correct and that invoices match the Purchase Order or include an appointment number, project number, or overhead cost description.
  • Ensure accurate coding by reviewing main and sub-general ledger accounts.
  • Use return authorization numbers provided by the parts department to process vendor credits for parts returns.
  • Process credits for warranty claims, ensuring the proper general ledger account coding.
  • Process invoices for drop-shipments to include freight charges with proper sub-account coding.
  • Distribute monthly credit card statements to employees and follow up to ensure timely submission for expense allocation.

Vendor Management:
  • Review statements and request missing invoices or credits not recorded in system.
  • Respond to vendor inquiries, resolving issues in coordination with parts and service departments.
  • Ensure payments are accurate and made on time to avoid late fees and maintain positive relationships with vendors.
  • Prepare payments, including electronic transfers, checks, wires, and ACHs, for review by the VP of Finance.
  • Use Acumatica to maintain organized and accurate vendor and financial records, including invoices, receipts, and payment documentation as needed.
  • Assist with preparing financial reports, audits, and other documentation required by management or external entities.

Qualifications:
  • Education: An associate's degree in accounting, finance, or a related field is required; a bachelor's degree is preferred.
  • Experience: A minimum of 2-3 years of experience in accounts payable or a similar role; experience with accounting software such as Acumatica, Sage, or NetSuite, is a plus.

Salary: $65,000 - 70,000 per year, plus bonus.
