Job OverviewSalary: Dependent on Experience

The Customer Service Representative plays a crucial role in managing incoming communications, scheduling services, and handling various administrative responsibilities. As the initial point of contact for clients, the CSR is tasked with delivering exceptional levels of friendliness, support, professionalism, and efficiency.

This position reports directly to the Office Manager and does not include supervisory responsibilities.

Key Responsibilities

  1. Professionally handle all incoming calls, ensuring appropriate actions are taken, whether that involves transferring calls, paging the relevant personnel, or recording messages.
  2. Foster and maintain positive relationships with clients, ensuring that a high standard of customer service is upheld and all client needs are addressed promptly. Any unresolved issues should be escalated to management.
  3. Coordinate service appointments and inspections for clients, providing detailed scheduling information to the Sales or Pest Management Professionals.
  4. Manage rescheduling of appointments as needed and promptly inform the relevant professionals of any changes.
  5. Keep customer files organized and current.
  6. Field inquiries from on-site employees and provide necessary follow-up information.
  7. Ensure the customer database is accurate and up-to-date, making corrections as required.
  8. Assist in entering accounts payable and receivable data into the company's computer system.
  9. Conduct research on payment histories or other requested information, verifying the accuracy of invoices and payments.
  10. Contact clients to follow up on overdue invoices, facilitating timely payments.
  11. Stay informed about current trends, products, and equipment within the industry.
  12. Support the maintenance of office equipment, alerting management to any issues with computers, phones, copiers, or other devices.
  13. Distribute faxes, mail, and other communications to the appropriate individuals.
  14. Assist in data research, making necessary phone calls, and preparing reports, letters, and general correspondence as required.
  15. Participate in meetings and carry out additional administrative tasks as needed.
  16. Perform other duties as assigned.
