Position Overview

Salary: Competitive and commensurate with experience.

The Patient Referral Specialist plays a crucial role in managing the referral process for patients requiring specialized medical attention. This position ensures that all referrals are effectively coordinated from the initial request through to the receipt of specialist reports, maintaining clear communication with both patients and healthcare providers.

Essential Qualifications

Must interact professionally and respectfully with both internal and external stakeholders. Ability to manage multiple priorities effectively and meet deadlines is essential. Strong analytical and problem-solving skills are required.

Experience: A minimum of 2 years in a related field is preferred.

Required Skills: Familiarity with medical terminology, proficiency in Microsoft Office, and exceptional verbal and written communication abilities. Knowledge of local insurance providers and plans is also necessary.

  • Preferred Skills: Bilingual proficiency in English and Spanish.

Educational Background: An Associate's degree in a healthcare-related discipline is required.

Licensure/Certification: Not applicable.

Physical Demands:

The role requires the following physical capabilities:

  • Frequent hand and finger movements for typing and writing.
  • Occasional standing, walking, stooping, kneeling, or crouching.
  • Ability to reach with hands and arms.
  • Effective communication abilities, including talking and hearing.

Key Responsibilities

  1. Facilitate patient referrals to specialty providers throughout the entire referral process.
  2. Gather and organize information regarding the patient's clinical history and referral requirements, providing necessary clinical details to specialists as per referral protocols.
  3. Coordinate with specialty offices to arrange appointments.
  4. Engage with insurance companies to confirm prior authorization requirements are fulfilled.
  5. Track and manage orders, scheduled appointments, and pending referrals.
  6. Maintain accurate documentation in electronic health records to ensure all communications regarding patients and referrals are properly recorded.
  7. Discuss referral details and expectations with patients, including any financial responsibilities.
  8. Serve as a resource for patients or providers with inquiries or issues related to referrals, advocating on behalf of patients with insurance carriers to secure timely approvals for necessary services.
  9. Establish and nurture relationships with designated service providers.
  10. Ensure timely processing of referrals, prioritizing urgent cases appropriately.
  11. Collaborate with assigned staff to ensure that consult notes are received and directed to the appropriate provider for review.
  12. Engage in quality improvement initiatives by monitoring, measuring, analyzing, and enhancing program goals and services.
  13. Support compliance with current incentive, regulatory, and certification standards through appropriate documentation and participation in relevant initiatives.
  14. Perform additional duties as assigned.
