Accounts Payable Clerk

We are seeking a skilled Accounts Payable Bookkeeper to join our team in the Construction, Development, and Operating department. This role involves managing accounts payable for multiple jobs, acting as the primary interface between Accounts Payable and Vendors, and accurately reviewing, entering, coding, and processing vendor invoices and progressive billing.
The ideal candidate will have a strong understanding of basic accounting principles, knowledge of construction billing and AIA documents, and expertise in QuickBooks Desktop Contractor Edition. Additionally, they will possess solid prioritization and organizational skills, a high degree of accuracy, and meticulous attention to detail.
This is a high-pressured, fast-paced environment with a large number of multiple steps in complex systems performed with accuracy essential to the successful completion of tasks. The salary for this position is estimated at $65,000 - $85,000 per year, depending on location and experience.
Responsibilities:
- Manage accounts payable for multiple jobs
- Act as the primary interface between Accounts Payable and Vendors
- Accurately review, enter, code, and process vendor invoices and progressive billing
- Review all invoices for appropriate approvals prior to payment
- AIA Billing - verify the accuracy of AIA Contracts, progress billing pay applications, and retention
- Generate conditional and unconditional waivers for subcontractor payment applications
- Ensure conditional and unconditional waivers are accurate
- Processing, reviewing, coding, tracking, and general ledger posting of construction draws for multiple projects
- Prepare account payable reports for multiple jobs
- Generate and audit job cost reporting for upper management
- Verifying current certificate of insurance is on file
- Verifying current W-9 is on file
- Prepare and distribute checks for vendors
- Reconcile vendor statements monthly
- Maintain intercompany transactions, billings, and reconciliation
- Oversee 1099 Reporting at EOY
- Maintain a filing system for financial information, vendor records, and documents to ensure easily available information
- Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices
- Respond to external vendors and internal managers regarding all aspects of the accounting process accurately and timely
- Special projects as directed by management.
