Customer Service Representative

We are seeking a highly skilled and customer-focused Customer Service Representative to join our team at J.F. Shea Family of Companies. As a key member of our community team, you will be responsible for providing exceptional service to our residents, vendors, and general public.

Key Responsibilities:
  • Coordinate and facilitate customer service requests
  • Provide backup support to team members
  • Complete special projects as directed by management staff
  • Ensure all issues are resolved satisfactorily
  • Update and maintain a directory of local services
  • Provide information to assist residents as requested
  • Complete and track telephone calls to residents
  • Maintain a supply of updated brochures
  • Create amenities to acknowledge special resident highlights
  • Order tickets, make reservations, and arrange transportation as requested by residents
  • Accept delivery of packages and deliver to apartments as requested
  • Provide referral service to outside sources
  • Plan, organize, and set up resident functions
  • Coordinate the preparation of resident event flyers
  • Communicate events through various channels
  • Use computer software to develop newsletters and other communications
  • Assist with maintaining key control
  • Source, maintain, and develop lists of activity vendors
  • Measure success of activities through resident surveys
  • Develop and maintain relationships with local businesses and vendors
  • Purchase and maintain hospitality supplies within the annual budget
  • Review websites and retain pertinent articles for resident perusal
  • Operate and understand property software
  • Assist with tours and leasing apartments
  • Handle resident complaints and direct them to management staff when necessary
Requirements:
  • Demonstrate initiative, professionalism, personal awareness, integrity, and confidentiality
  • Effective written and oral communication
  • Time management and organization skills
  • Customer service experience in at least one of the following industries: property management, hospitality, retail, real estate
  • Familiarity with Microsoft Office products (Word/Excel/Outlook), Yardi preferred
  • High School Diploma or equivalent
Work Environment:

The Customer Service Representative works on-site at an apartment community and interfaces with external/internal customers, residents, and vendors on a regular basis. The position's work schedule varies depending on the property, and hours and scheduled may vary based on the needs of the community. The position is required to work weekend days (Sat/Sun) and should be flexible with availability depending on the needs of the property.

The position requires frequent standing, walking, sitting, using hands, reaching with hands and arms, stooping, kneeling, talking, hearing, and using a telephone and personal computer. May be required to lift and/or move up to 25 pounds. Must be able to occasionally drive during the course of work.
