Medical Support Assistant/Clerk

We are seeking a detail-oriented and organized Medical Support Assistant/Clerk to provide administrative support and assistance to medical staff at a federal government healthcare facility. The successful candidate will be responsible for ensuring smooth operations within the medical department.
Responsibilities:
- Schedule patient appointments, consultations, and follow-up visits using electronic scheduling systems.
- Greet patients, visitors, and staff in a professional and courteous manner, providing assistance and direction as needed.
- Maintain patient medical records and ensure accuracy and confidentiality in handling sensitive information.
- Verify patient demographic information and insurance coverage, collecting necessary co-pays or fees as required.
- Assist medical staff with patient intake processes, including obtaining vital signs and updating medical history forms.
- Coordinate medical referrals and obtain necessary authorizations from insurance providers or government agencies.
- Prepare and process medical correspondence, reports, and forms according to established procedures.
- Maintain inventory of medical and office supplies, ordering additional supplies as needed and ensuring proper storage and organization.
- Assist with the maintenance and cleanliness of the medical office and examination rooms, including sterilization of equipment and disposal of hazardous materials.
- Provide general clerical support, including answering phones, responding to inquiries, and directing messages to appropriate personnel.
- Collaborate with other healthcare professionals and administrative staff to ensure efficient workflow and quality patient care.
- Adhere to all federal regulations, policies, and procedures governing healthcare administration and patient confidentiality.
Qualifications:
- High school diploma or equivalent; additional education or certification in medical assisting or healthcare administration preferred.
- Previous experience working in a medical office or healthcare setting, preferably in a clerical or administrative role.
- Proficiency in using electronic medical records (EMR) systems and other office software applications.
- Excellent communication and interpersonal skills, with the ability to interact effectively with patients, staff, and external contacts.
- Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage multiple responsibilities simultaneously.
- Knowledge of medical terminology, procedures, and insurance billing practices preferred.
- Ability to maintain confidentiality of patient information and comply with HIPAA regulations.
- Flexibility to adapt to changing priorities and work schedules, including occasional evening or weekend shifts as needed.
