Responsibilities

This role is accountable for the planning and optimization of inspection tasks. The Scheduler will ensure that all customer commitments are fulfilled regarding service delivery.

Key Functions

Leverage the automated scheduling features in Oracle (ACE) to assign inspections to the most suitable technician based on their skills, geographical areas, customer preferences (if applicable), technician availability, service contract response times, urgency of the request, and proximity to the client.

Communicate and resolve scheduling issues with clients and staff regarding inspection tasks. Notify management of potential challenges arising from customer or field complaints and work towards their resolution.

Assess branch performance and adherence to program initiatives, identify areas needing improvement, and develop and implement action plans in collaboration with branch/region management. Monitor effectiveness and take corrective actions as necessary.

Exhibit the ability to prioritize scheduling backlogs while also tracking and resolving customer concerns. Reassign tasks as needed to manage customer expectations, making decisions based on current workloads and priorities.

Oversee Technician activity and schedules to ensure that customer commitments are met, and effectively communicate status updates to the customer regarding early or delayed arrivals.

Perform all other duties as assigned.

Qualifications

Required

  • 3-5 years of experience in customer service
  • Exceptional communication abilities
  • High level of organizational skills
  • Experience as a fleet scheduler or service coordinator
  • Proficient in Excel
  • Must be a resident citizen of the United States to qualify for this position

Preferred

  • Associate or bachelor's degree preferred
  • Experience in a SimplexGrinnell District or a fast-paced work environment
  • Familiarity with ACE/Oracle systems preferred
  • Knowledge of life safety (fire alarm & sprinkler) equipment preferred
