Job Summary

We are seeking a highly organized and detail-oriented Legal Assistant to join our Commercial Real Estate and Corporate Legal Department at Rudman & Winchell LLC. The successful candidate will provide administrative support to our attorneys and play a key role in ensuring the smooth operation of our department.

Key Responsibilities
  • Conduct conflict-of-interest checks, organize new files, and manage client and corporate files, ensuring accuracy and completeness.
  • Process incoming and outgoing mail, selecting appropriate express delivery services and monitoring for timely receipt.
  • Answer and direct telephone calls, recording accurate messages as needed.
  • Prepare and edit documents drafted by attorneys, utilizing legal formats and terminology.
  • Gather necessary information for closing documents, including pay-off amounts on mortgages and liens, taxes, insurance, and other fees.
  • Prepare settlement statements and closing documents, assist attorneys with closings, and coordinate closing dates with banks and relevant parties.
  • Prepare title insurance reports, commitments, and policies.
  • Collaborate with corporate department support staff to prepare annual minutes, generate monthly lists, and circulate revised lists to attorneys.
  • Maintain the corporate client database, ensuring accuracy and currency of client information.
  • Manage attorney calendars and deadline reminders using electronic calendar systems.
  • Attend practice group meetings as required.
  • Maintain positive public relations with clients and ensure confidentiality of attorney-client relationships.
  • Operate various office equipment, including computers, photocopiers, and scanners/fax machines.
Requirements
  • Detail-oriented with excellent analytical capabilities to ensure accuracy and completeness.
  • Knowledge of legal principles, practices, and terminology for real estate and corporate transactions.
  • Ability to read and write to proof and perform minor editing of routine legal correspondence.
  • Good quality keyboarding skills and intermediate level knowledge/experience with Microsoft Office and document management applications.
  • Ability to assemble files and file information using alphabetical, numerical, and chronological filing guidelines.
  • Ability to operate office equipment, including telephone, scanner/fax, and photocopier.
  • Highly organized, with the ability to manage multiple tasks, establish priorities, and meet deadlines.
  • Excellent keyboarding skills and intermediate level knowledge/experience with Microsoft Office, document management, and time-keeping applications.
  • Able and willing to attend professional organization events and seminars to stay current on new legal developments.
  • Able and willing to travel to private and public buildings, locally and statewide, to assist attorneys with client needs.
  • Able and willing to work different hours or more than 40 hours per week, as needed.
  • Excellent oral and written communications skills to prepare documents and correspondence with minimal attorney supervision.
  • Polished, professional interpersonal skills to work well with others, including staff, attorneys, clients, peers, vendors, and court personnel.
Working Conditions
  • Normal office environment with minimal exposure to excessive noise, temperature, and other environmental factors.
  • Extensive sitting may be required.
  • Extensive standing or walking may be required, depending on attorney requirements.
  • Reaching above shoulder levels and occasional use of ladder or step stool may be required.
  • Lifting under 10 pounds on a consistent basis and occasionally up to 40 pounds may be required.
