Job Summary

We are seeking a highly organized and detail-oriented Commercial Real Estate/Corporate Legal Assistant to join our team at Rudman & Winchell LLC. The successful candidate will provide administrative support to our commercial real estate and corporate legal departments, handling a variety of secretarial functions and tasks.

Key Responsibilities
  • Manage client and general corporate files, conducting conflict-of-interest checks and performing periodic reviews to identify inactive files for potential closure.
  • Process incoming and outgoing mail, ensuring timely dispatch and selecting appropriate express delivery services.
  • Answer and direct telephone calls, recording accurate messages as needed.
  • Prepare and edit documents drafted by attorneys, utilizing legal formats and terminology.
  • Assist with closings and post-closing tasks, coordinating with banks and relevant parties.
  • Prepare title insurance reports, commitments, and policies.
  • Collaborate with other corporate department support staff to prepare annual minutes.
  • Maintain the corporate client database, ensuring all client information is current.
  • Perform additional tasks as requested, including document editing and other duties as needed.
Requirements
  • Detail-oriented with excellent analytical capabilities.
  • Knowledge of legal principles, practices, and terminology for real estate and corporate transactions.
  • Ability to read and write, with good quality keyboarding skills and intermediate level knowledge/experience with Microsoft Office and document management applications.
  • Ability to assemble files and to file information utilizing alphabetical, numerical, and chronological filing guidelines.
  • Highly organized, with the ability to manage multiple tasks, establish priorities, and meet all deadlines.
  • Excellent oral and written communications skills, with polished, professional interpersonal skills.
Working Conditions
  • Normal office environment with little exposure to excessive noise, temperature, and the like.
  • Extensive sitting may be required.
  • Extensive standing or walking may be required, depending on attorney requirements.
  • Reaching above shoulder levels and occasional use of ladder or step stool may be required.
  • This position requires one to lift under 10 pounds on a consistent basis and occasionally up to 40 pounds.
