Job Summary

We are seeking a highly skilled and detail-oriented Ophthalmic Assistant to join our team at NYU Langone Health System. As an Ophthalmic Assistant, you will provide exceptional support to our ophthalmologists and patients, ensuring a seamless and efficient experience.

Key Responsibilities
  • Provide front desk support, including greeting patients, answering phone calls, and scheduling appointments.
  • Assist with clinical intake, including taking patient histories, verifying insurance information, and collecting demographic data.
  • Facilitate post-visit interdepartmental scheduling for specialist visits, scans, and procedures.
  • Collaborate with other areas of the Medical Center and insurance providers to obtain pre-authorizations and certifications for treatments and diagnostic procedures.
  • Perform various ophthalmic tests as directed by physicians, including applying drops to anesthetize, dilate, or medicate eyes.
  • Maintain supplies and cleanliness of the space, restocking supplies as needed, and notifying supervisors of any shortages.
  • Provide reception assistance, including greeting patients, answering calls, and directing requests to the proper individual.
  • Screen telephone callers in a pleasant and professional manner, handling calls, taking messages, or directing callers to the appropriate person or area.
  • Responsible for taking patient phone calls and scheduling appointments over the phone.
  • Assist with patient check-in and check-out, gathering patient demographic-related data and materials, and verifying insurance eligibility.
  • Collect and ask patients to sign patient-related documents, including HIPAA, MSPQ, and ABN.
  • Follow up with patients and/or their representatives to gather missing data and materials to complete the intake process.
  • Scan all necessary documents, including insurance cards, lab requisitions, and other relevant materials, into the intake system.
  • Refer patients who have questions regarding insurance coverage or need counsel on financial matters to the Business Office Associate.
  • Maintain cooperative and professional relationships with physicians, nurses, and office and clinical staff.
  • Types routine material, including forms, letters, envelopes, and other documents, neatly, accurately, and according to instructions.
  • Answers patient questions to ensure understanding and patient satisfaction, or refers them to more senior-level staff.
  • Maintains confidentiality on matters to which they are privileged.
  • Maintains and receives files for the area, maintaining files in an organized and up-to-date manner to facilitate their retrieval.
  • Completes filing in accordance with departmental procedures, sorts and distributes documents and forms for the area section, and logs in materials with respect to time and data when applicable.
  • Processes incoming and outgoing documents, completes forms neatly, secures appropriate signatures, and forwards documents/forms to the correct destination based on pertinent Medical Center procedures.
  • Maintains a copy for files and faxes documents in accordance with departmental procedures.
Requirements
  • High School Diploma required.
  • One year of relevant medical clerical experience required.
  • Knowledge of medical terminology, excellent organizational, interpersonal, and verbal and written communications skills, and strong customer service orientation required.
  • Basic knowledge of word processing, spreadsheet, database, and Internet applications required.
  • Light accurate keyboarding skills required.
  • Ability to complete multiple tasks efficiently and thrive in a team work environment.
Preferred Qualifications
  • Experience in an Ophthalmology setting.
  • Experience with ophthalmic testing.
