GENERAL SUMMARY
The Deputy Register is responsible for a variety of essential court functions within the Probate Court. This role involves preparing and managing court documents necessary for scheduling hearings and executing the directives of the presiding judge. The position requires assisting both the public and legal professionals with procedures pertinent to matters under the jurisdiction of the Probate Court. The Deputy Register also processes and verifies legal documents for accuracy and completeness while providing clerical support and customer service.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
1. Assist attorneys and the public via in-person and telephone inquiries regarding Probate matters, delivering accurate information as needed.
2. Review legal documents submitted by attorneys and the public to ensure compliance with statutory and procedural requirements.
3. Process orders following court hearings in accordance with established protocols.
4. Prepare casework reports and correspondence from written materials.
5. Conduct thorough reviews of case files to confirm that all necessary documents are filed and initiate corrective actions when needed.
6. Maintain accurate records and statistics for the assigned area.
7. Perform cashiering duties, including issuing change and receipts, counting money, and preparing bank deposits.
8. Handle incoming mail and respond to routine inquiries.
9. Maintain an inventory of forms and supplies, reordering as necessary.
10. Execute other related duties as assigned.
QUALIFICATIONS
Required Education and Experience
- High school diploma or equivalent (GED)
- Two (2) years of clerical experience
- Valid Michigan driver's license, operable vehicle, and insurance
- Associate's Degree or higher
- Prior experience in a court or legal environment
Knowledge of:
- Office practices and legal terminology
- Probate Court regulations
- Microsoft Office and current court case management systems
- Modern office procedures and equipment
- Organization and initiative
- Interpersonal skills for effective working relationships
- Managing multiple tasks in a fast-paced environment
- Basic mathematical functions
- Make decisions based on Probate Court rules
- Establish and maintain effective working relationships
- Communicate effectively in English
- Maintain confidentiality of sensitive information
- Work independently and follow instructions
The work environment is primarily an office setting with standard indoor conditions.
PHYSICAL DEMANDS
The physical demands include frequent bending, grasping, and manual dexterity for tasks such as typing and filing.
