Job Overview

Position Summary: The Facilities Project Coordinator (FPC) role is centered around managing significant enterprise initiatives.

This role involves supporting the initiation, planning, execution, monitoring, and closure of projects, with a primary emphasis on scheduling and budgeting for multiple enterprise platform initiatives concurrently. The FPC must adeptly manage projects utilizing a Work Breakdown Structure (WBS) approach and MS Project for scheduling. This position requires collaboration with cross-functional teams to coordinate and schedule activities to achieve the desired outcomes of projects or programs. A high level of interaction and communication with various departments and both internal and external stakeholders is essential for success, making strong communication skills critical. The Facilities Project Coordinator should be regarded as the visionary leader for the overall execution of the platform.

Key Responsibilities:

  • Deliver projects independently or as part of a program, adhering to the approved scope, quality, timeline, and budget.
  • Lead pre-bid discussions to clarify project scope, logistics, and existing conditions.
  • Assist the Director of Facilities in managing capital and operational expenditure budgets.
  • Oversee feasibility studies, schematic design concepts, design development, RFP solicitations, and contract negotiations.
  • Provide status updates on capital projects to stakeholders and leadership.
  • Facilitate all project aspects to completion with a professional presentation.
  • Coordinate data and facts for business plans and financial models.
  • Facilitate new project proposals with relevant stakeholders and drive decision-making with necessary business information from a cross-functional team.
  • Collaborate with finance to establish a consistent business model template for planning.
  • Lead the development and implementation of strategies, plans, and tactics for current projects to meet deliverables.
  • Create project work breakdown structures and associated cost estimates through collaboration with the project team and area leadership.
  • Identify project dependencies and outline necessary tasks to achieve individual project and overall program objectives.
  • Focus on strategic implementation and effective delegation of project tasks.
  • Maintain a comprehensive 24-month enterprise program plan, including resource management (people, financial, space, assets, etc.), project roadmap, and associated constraints. Actively address issues and prioritize with executive and project teams.
  • Develop project metrics, schedules, and reports using MS Project or other project management tools.
  • Conduct change impact assessments for scope changes, trends, and change notices, reporting any schedule and cost implications.
  • Regularly assess project risk management and develop mitigation strategies, ensuring the project/program dashboard includes risk reviews.
  • Monitor and manage progress against plans, providing periodic reviews of actual versus target goals.
  • Support project budgets primarily by managing expenses and ensuring proper processing and tracking.
  • Maintain accurate records of committed, expended, and forecasted project costs.
  • Drive project and program decision-making.
  • Submit all capital expenditure requests for facilities.

Qualifications:

  • Bachelor's degree (B.A. or B.S.) from an accredited institution, with 7 years of project management experience and/or training; or an equivalent combination of education and experience.
  • Supervisory experience is preferred.
  • PMP certification is preferred or the ability to obtain it within 12 months.
  • Experience in continuous improvement is preferred.
  • Exceptional communication skills (public speaking, team meetings, presentations, memos, emails, reporting metrics).

  • Timely completion of scheduled work.

  • Strong problem-solving skills with knowledge of six-sigma or lean office tools.
  • Proficiency in Avante ERP, specifically the Project Module, UltiPro, MS Project tools, database management, and other relevant software.
