Job Summary

We are seeking a highly organized and detail-oriented Accounting Assistant to join our team at Advanced Mechanical Inc. The successful candidate will provide administrative support to our Accounting/Business Team, interacting with upper management and maintaining confidentiality.

Key Responsibilities:

  • Process and sort incoming mail, directing correspondence to the appropriate offices.
  • Analyze payroll hours from the time and attendance device and enter them into the payroll system accurately.
  • Assist with open enrollment for benefits and complete year-end audit reporting.
  • Record accounts receivable checks and other payments daily, ensuring timely and accurate input.
  • Manage collections, developing a collection plan to deal with unresolved collections.
  • Update client accounts based on payment or contact information.
  • Sort, file, and perform data entry of accounts payable invoices in a timely manner, verifying applicable sales tax and use tax on invoices.
  • Research and resolve vendor invoice discrepancies.
  • Process monthly billings, including progressive and AIA billings.
  • Assist with necessary reports, such as "Work in Progress," to appraise each project in terms of profitability, performance against budget, and other related matters.
  • Maintain and balance petty cash.
  • Enter equipment maintenance into the correct systems for tracking purposes.
  • Responsible for filing all work comp injuries and reporting.
  • Assist with phone and email communications with customers, contractors, and suppliers.
  • Be alert and aware of surroundings to assist with customer walk-ins and phone support.
  • Assist in learning all functions within the office, including being a backup support to Dispatching, Service Billing, etc.
  • Assist in completing job cost analysis for year-end review.
  • Update/create job aids quarterly.
  • Perform other duties as assigned.

Requirements:

  • Self-starter with strong communication skills.
  • Customer service etiquette and accuracy to detail and numbers.
  • Extremely organized and proficient in Microsoft Office, including Outlook, Word, and Excel.
  • Accounting degree and/or a minimum of 2-5 years in business operations accounting experience is helpful.
  • Attentiveness to data entry accuracy is a must.
  • Ability to work in a fast-paced environment with little supervision.
  • Maintains confidentiality regarding all aspects of the work environment.
