Job Title: Food and Beverage Coordinator

Job Summary:

We are seeking a highly organized and detail-oriented Food and Beverage Coordinator to join our team at Sun Hill Properties, Inc. The successful candidate will provide administrative and logistical support to the Banquet and Food and Beverage Departments, ensuring the seamless execution of events.

Key Responsibilities:
  • Banquet Event Orders (BEO) Management: Maintain and manage the Banquet BEO binder, ensuring all event details are accurate and up-to-date. Ensure all revised / pop up BEO's are printed and placed in the appropriate binders and clipboards. Attend BEO meetings to ensure clear communication between departments, potential equipment order.
  • Track any changes or updates to BEOs and communicate these effectively to the team
  • Banquets, Food and Beverage Labels and Signage: Create and manage accurate food and beverage labels for each event, ensuring all dietary restrictions and preferences are noted. Design and print event signage, including directional signs, menu boards, and place cards. Upload the daily reader board to reflect event schedules and details.
  • Scheduling and Coordination: Assist with scheduling changes for banquet staff, ensuring shifts align with event requirements. Communicate schedule adjustments to all relevant team members.
  • Event Billing and Invoicing: Prepare banquet checks and recap to pass onto the PM Captain (if applicable), and verify event billing. Ensure that all billing is accurate and reflects the services provided.
  • Support to Kitchen and Banquet Teams: Act as a liaison between the Banquet and Kitchen teams to ensure clear communication of event details. Assist and print BEO's for the Kitchen and assist with any Clarifications.
  • General Administrative Support: Assist with other administrative tasks such as filing, organizing, and maintaining banquet supplies. Provide support to the Banquet, Outlet Managers in any ad hoc tasks or projects.
Requirements:
  • Proven experience in an administrative or banquet coordination role, preferably within the hospitality industry.
  • Strong organizational and multitasking skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent communication skills, both written and verbal.
  • Attention to detail and ability to handle last-minute changes efficiently.
  • Ability to work in a fast-paced environment and collaborate with multiple teams.
Preferred Qualifications:
  • Familiarity with event management software.
  • Basic design skills for creating labels and signage.
  • Previous experience with banquet event orders and event scheduling.
Work Environment:

This role involves frequent interaction with multiple departments and requires a strong team player. The Banquet Coordinator/Assistant must be able to handle physical tasks such as preparing signage, organizing event materials, and attending BEO meetings on-site.

Essential Functions:

  • Assist Kitchen with BEO printing and placement on the board
Supportive Functions:

In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the hotel.

Qualifications Standards

Education: Bachelor's Degree or combination of experience and education

Experience: Minimum of 2 years hospitality, restaurant and/or customer service experience.

Licenses or certificates: Not required

Grooming: All employees must maintain a neat, clean and well-groomed appearance. (Specific Standards are Available)

Other: Applicants with additional language skills preferred.

Physical and Visual Requirements:

  • Must be able to sit, stand and walk for long periods of time ranging of not less than 1 hour at a time and specifically required for this position to fulfill successfully the essential functions of the job.
  • Fingering: picking, pinching, typing, or work with fingers versus whole hand or arm.
  • Grasping: Applies pressure with fingers and palm.
  • Talking: Must convey ideas by spoken word, must convey information quickly and loudly to other workers, or guests.
  • Hearing: Must perceive the nature of sound, receive detailed information through oral communication and to make fine discriminations in sound.
  • Repetitive Motions: Substantial motions of hands, wrists and fingers.
  • Vision occurs continuously with the most common visual function being those of near vision and depth perception

Working Conditions:

Most work tasks are performed indoors. Temperature is moderate and controlled by hotel environmental systems; however, must be able to work in extreme temperatures like freezers (-10°F) and kitchens (+110°F), possibly for one hour or more. Extreme weather conditions apply to outdoor positions.
