Job Overview

Position Summary:

The Facilities Operations Supervisor will assist the Facilities Services Manager by leveraging software and administrative tools to effectively manage work orders. This role includes the creation and distribution of work orders, oversight of capital improvement initiatives, and ensuring adherence to best practices within the Facilities Management sector.

Leadership Duties:

- Communicate efficiently with management to achieve project timelines
- Respond to emergencies in a timely and professional manner, evaluating the necessity for external vendor support
- Organize meetings to set priorities and schedules, balancing urgent matters with available resources
- Support property evaluations to ensure compliance with regulatory standards
- Conduct preventive maintenance inspections at each location to guarantee safety and comfort

Team Collaboration:

- Generate analytical reports utilizing the Work Order System and present insights to management
- Collaborate with team members across various departments to address priority tasks effectively
- Work alongside colleagues and contractors to ensure prompt task completion
- Assist with procurement by offering cost-effective solutions
- Schedule regular meetings to uphold departmental standards and provide updates on ongoing work

Community Engagement:

- Participate in meetings to collect feedback on facility operations
- Address the needs of individuals and team members across various agency programs
- Maintain facilities that ensure safe access for all
- Collaborate with interns, volunteers, and vendors to foster positive community relationships

Qualifications:

- Proficient in Microsoft Office Suite with strong communication skills
- Extensive experience managing web-based software for work order systems
- Strong organizational and time management capabilities
- Physical ability to perform maintenance-related tasks
- Excellent communication skills across all organizational levels

Education/Certification:

- High School Diploma/GED required
- Valid Illinois Driver's License required

Experience:

- Proficient in Microsoft Outlook, Word, Excel, and internal work order systems
- Up to one year of relevant job experience preferred

Physical Abilities:

- Capability to lift, bend, climb, kneel, push, pull, and carry weights
- Physical stamina to walk extended distances and respond to maintenance requests
- Driving skills are necessary for this position

Work Schedule:

Monday - Friday, 7:30 AM - 4:00 PM (with occasional late evenings or weekends as needed)
