Nursing Staffing Specialist

The Nursing Staffing Specialist plays a crucial role in overseeing and facilitating the daily functions of staffing, scheduling, and payroll processes within the Nursing Department, which includes managing agency and travel nurse schedules and invoices.
This position collaborates closely with the Nursing Leadership Team and Practice Area leaders to assess coverage requirements and address any challenges related to staffing. It involves the distribution of clinical resources based on various factors, utilizing an automated scheduling system. The Staffing Specialist will also work directly with the Staffing Resource Team to manage scheduling and daily staffing assignments.
Key Responsibilities
- Engages with Nursing Supervisors and Leaders to ensure sufficient clinical coverage that meets patient care demands, taking into account census, acuity, productivity, and other relevant factors, while fostering a culture of safety and a positive work environment.
- Collaborates with the Staffing Resource Team for effective scheduling and daily staffing allocation, ensuring balance for Patient Safety Companions and Benefitted Resource Pool Team members.
- Provides timely feedback to clinical staff to resolve issues effectively.
- Fosters a collaborative and supportive relationship among Practice Areas within the department to enhance teamwork and learning.
- Participates in bed meetings and safety operational huddles during day shifts.
- Manages overtime, incentive pay, and staff cancellations in accordance with nursing and HR policies.
- Works with the Nursing Supervisor to make staffing decisions based on patient care needs during shifts.
- Assigns associates in the Kronos system and coordinates staff reassignments as necessary.
- Demonstrates the ability to make timely decisions and escalates staffing crises when required.
- Handles all sick calls within the Nursing Department, enters appropriate pay codes in Kronos, and promptly informs the affected unit.
- Receives requests from associates for additional shifts, enters shifts in Kronos, and notifies the impacted unit accordingly.
- Collaborates with Incident Command and assists the Labor Pool with staff deployment.
- Supports recruitment efforts, including hiring, training, and onboarding new staff.
- Assists with timekeeping to ensure accurate employee compensation.
- Tracks and reports attendance as needed.
- Performs additional duties as assigned by the supervisor.
- High School diploma required; Associate's degree preferred.
- At least one year of experience in timekeeping and scheduling is required.
- Familiarity with the KRONOS timekeeping system is preferred.
