Job Summary

The Administrative Assistant provides critical support to the ADA programs at MTM. This role involves handling various administrative tasks, including data entry, customer communication, and office management.

Key Responsibilities
  • Enter customer contact information into software systems with accuracy.
  • Answer phone calls in a polite and timely manner.
  • Process customer identification cards and manage customer scheduling.
  • Conduct outbound phone calls and maintain program spreadsheets.
  • Maintain ongoing communication with the Quality Assurance team and management regarding contractual deadlines and potential liquidated damages.
  • Collect and track monies collected for replacement IDs.
  • Maintain confidentiality and comply with HIPAA regulations.
  • Anticipate and order necessary supplies in a timely manner.
  • Manage office equipment and serve as a point of contact for vendors.
  • Design and maintain filing systems and document scanning.
  • Provide comprehensive reception coverage and maintain a professional image of MTM.
  • Establish and maintain effective working relationships with employees, supervisors, and external partners.
  • Communicate professionally with leadership and prepare and process mail daily.
  • Assist with printing and mailing determination letters and create customer information packets.
  • Enter mailed information and dates into software systems.
  • Attend to administrative details and report any complaints or unusual circumstances to management.
  • Check the fax machine regularly and deliver faxes to the appropriate person or department.
  • Conduct marking and tethering assessments as required.
Requirements
  • High school diploma or G.E.D.
  • College degree preferred.
  • 2 years of customer service experience.
  • 1 year of administrative experience in a professional environment.
  • 1 year of experience working with the ADA and/or elderly population.
  • Authorized to work in the United States and not require work authorization sponsorship.

  • Ability to identify with customer needs and circumstances.
  • Ability to handle multiple tasks and situations in a fast-paced environment.
  • Knowledge of Microsoft Word, Microsoft Excel, and other Office Suite products.
  • Ability to type 40 wpm.
