Position Summary:

The Client Engagement Advocate (CEA) plays a crucial role in the admissions process, reporting directly to the Admissions Advocate Supervisor. The CEA is responsible for facilitating a seamless transition from the initial contact to the commencement of treatment for clients seeking our services. This position involves engaging with clients, gathering essential information, verifying insurance benefits, and ensuring a smooth hand-off to Admissions Advocates. CEAs are vital in creating a positive first impression and guiding individuals through the intake process.

Key Responsibilities:

Client Interaction and Information Gathering:

  • Receive incoming calls and greet clients, conducting initial assessments to identify their immediate needs and crisis levels.
  • Collect comprehensive client information, including demographics, insurance details, and treatment preferences.
  • Provide crisis support through active listening and empathetic communication to stabilize clients in distress.

Utilization of Triage Screener:

  • Employ the triage screener to gather standardized data and ensure accurate service delivery.
  • Connect clients with appropriate crisis intervention resources and follow up to confirm service effectiveness.

Verification of Benefits:

  • Conduct Verification of Benefits to confirm client insurance coverage and eligibility.

Data Management:

  • Input all collected client data into the Customer Relationship Management (CRM) system in a timely manner.
  • Ensure effective data transfer between CRM and Electronic Medical Records (EMR) systems.

Warm Hand-Off Procedures:

  • Facilitate warm hand-offs to Admissions Advocates, ensuring accurate information transfer.
  • Direct walk-in clients to Admissions Advocates, bypassing the CEA stage.
  • Collaborate with the Admissions Supervisor and team for appropriate referrals when necessary.

Follow-Up Responsibilities:

  • Generate quarterly reports on follow-up outcomes.
  • Conduct follow-up surveys with clients at admission and throughout the recovery process.
  • Assist discharged clients in their recovery journey by connecting them with appropriate resources.
  • Maintain professional communication with all clients while adhering to ethical standards and confidentiality regulations.

Qualifications:

Skills and Abilities:

  • Exceptional customer service skills.
  • Detail-oriented with strong organizational abilities.
  • Proficient in computer applications, including advanced Excel and experience with EHR & CRM systems.
  • Able to work effectively with diverse populations.
  • Attendance at mandatory staff meetings and workshops is required.

Education and Experience:

  • Associate degree or equivalent experience in a detox and rehabilitation facility, social services, or a related field.
  • Familiarity with community-based organizations is preferred.
  • Must possess a valid driver's license and maintain a clean driving record.
  • Bi-lingual/bi-cultural (Spanish/English) is preferred.
