Job Summary:

The HR Compliance Coordinator plays a critical role in ensuring the company's HR policies and practices comply with federal, state, and local regulations. This position focuses on monitoring employment law changes, conducting compliance audits, and maintaining accurate records. The HR Compliance Coordinator is responsible for ensuring that the company complies with key regulatory requirements such as the Affordable Care Act (ACA), Workers' Compensation, and laws related to workplace safety and employee welfare. Strong communication skills and the ability to work across departments are essential for success in this role.

Key Responsibilities:

Regulatory Compliance:

Monitor and ensure compliance with all relevant labor laws and regulations, including but not limited to ACA, CFRA, CRD, FMLA, ADA, OSHA, and EEO regulations.

Stay up to date with changes in employment law at the federal, state, and local levels, and update HR policies as needed.

Conduct compliance audits of HR policies, procedures, and employee records, identifying and addressing any compliance gaps.

Partner with legal counsel when necessary to interpret new regulations and ensure HR policies reflect current legal standards.

ACA and Benefits Compliance:

Oversee ACA compliance, including tracking and reporting employee hours, benefits eligibility, and managing 1095-C forms.

Ensure the company adheres to the Affordable Care Act's coverage requirements and other related federal healthcare mandates.

Workers' Compensation and Workplace Safety:

Coordinate workers' compensation claims, ensuring timely filing and communication with insurance providers.

Ensure compliance with workplace safety regulations (OSHA) and assist in maintaining safety training programs.

Conduct investigations into workplace incidents to ensure compliance with safety standards.

Policy Development and Training:

Develop and update HR policies and procedures to ensure they meet regulatory requirements.

Deliver training sessions for managers and employees on HR topics, including harassment prevention, workplace safety, and legal responsibilities.

Ensure all required training (e.g., WVPP, IIPP, and harassment prevention) is completed by employees within regulatory timeframes.

Investigations and Reporting:

Conduct internal investigations related to employee grievances, and workplace conduct violations.

Prepare and maintain compliance-related documentation, including investigations, reports, and training records.

Prepare regular reports on HR compliance status and audit results for the HR Director and executive leadership.

Employee Relations and Communication:

Serve as the primary point of contact for employee inquiries regarding compliance, company policies, and regulatory requirements.

Provide clear, effective communication to employees regarding changes in HR policies or procedures.

Partner with managers to address compliance-related employee issues and assist in ensuring consistency in HR practices across the organization.

Record Keeping and Audits

Maintain accurate and up-to-date records for compliance purposes, including personnel files, benefits documentation, and safety records.

Prepare for and manage external audits by regulatory agencies and ensure timely responses to audit findings.

Requirements:

Key Qualifications:

  • Education: Bachelor's degree in Human Resources, Business, or related field preferred.
  • Experience:
    • Minimum of 5 years of consecutive HR experience, with a focus on compliance, regulatory oversight, or employee benefits.
    • Previous experience managing ACA compliance, workers' compensation claims, and workplace safety programs required.
    • Familiarity with federal and state labor laws, including CFRA, FMLA, ADA, OSHA, and EEO regulations.
  • Skills:
    • Excellent communication skills, with the ability to present compliance information clearly to employees and management.
    • Strong organizational and analytical skills, with attention to detail and accuracy in managing compliance records.
    • Proven ability to conduct compliance audits, develop policies, and deliver training on HR-related legal requirements.
    • High level of discretion and the ability to handle sensitive and confidential information.
    • Proficiency in HRIS systems, Paylocity preferred, and Microsoft Office Suite, with the ability to generate compliance reports and track regulatory requirements.
  • Certifications: SHRM-CP, SHRM-SCP, PHR, SPHR or PHRca required.

Salary Range: $31.25 to $36.00 per hour

This HR Compliance Coordinator role will add value by minimizing legal risks and ensuring our organization stays compliant with all HR-related laws and regulations. This person will act as a compliance expert and provide necessary training and guidance to ensure compliance across the organization.
