Job Description
Jackson Lewis is seeking a skilled Legal Secretary for our San Francisco, CA office. As a key member of our dynamic team, you will provide comprehensive support to multiple attorneys, including preparation and revision of correspondence, pleadings, and documents, maintenance of electronic files, and completion of expense reports.
Duties and Responsibilities:
- Maintain accurate and up-to-date electronic case files following established protocols for seamless search and retrieval.
- Assist with the preparation of administrative filings and exhibits in agency matters.
- Support the preparation of exhibits for submission in various cases.
- Monitor attorney calendars to ensure timely filing deadlines and other critical events.
- Prepare and submit monthly expense reports for assigned attorneys.
- Collaborate with our billing department to assist attorneys with monthly client invoicing.
- Monitor Continuing Legal Education (CLE) needs of supported attorneys and facilitate bar admissions, as needed.
- Book and coordinate travel arrangements, including flights, hotels, and transportation, updating reservations as necessary through our travel agency.
- Prepare notebooks and proofread documents to ensure accuracy and quality.
- Run conflict checks and open new client engagements in conjunction with our new business team.
- Maintain current knowledge of ongoing cases and projects for assigned attorneys.
Required Skills and Qualifications:
- A minimum of 7+ years of experience in a legal setting, preferably in labor and employment law.
- Solid understanding of collective bargaining and negotiation processes.
- Experience working with document database systems, such as NetDocs or similar software.
- Proficiency in Windows environment, including Microsoft Word and Outlook.
- Familiarity with state and federal rules and procedures, general legal procedures.
- Familiarity with billing software (InTapp or similar) and expense reporting software (Concur or similar) is a strong plus.
- Experience supporting 4+ active attorneys simultaneously is highly desirable.

The estimated salary range for this position in California is $40-$50 per hour, commensurate with experience and qualifications.
