The Patient Service Representative plays a vital role in supporting the daily operations of our clinics by providing exceptional customer service, administrative support, and fulfilling general clerical office duties.
Key Responsibilities:- Greet patients and caregivers, providing a welcoming and professional customer service experience.
- Schedule and reschedule patient appointments as needed, ensuring seamless communication with patients and staff.
- Prepare charts for the following business day, maintaining accurate and up-to-date patient information.
- Verify patient eligibility and benefits, listing co-pay, deductible, and coinsurance on fee tickets.
- Obtain prior authorizations or referrals as required for patient visits, ensuring compliance with HIPAA and OSHA guidelines.
- Notify patients at check-in if they will have to pay a deductible or co-insurance at checkout, providing clear and concise information.
- Collect all monies due at time of service and post payments collected from patient copays and balances, maintaining accurate financial records.
- Maintain public spaces, such as waiting rooms, to ensure they are clean, comfortable, and organized, providing a positive patient experience.
- Competently navigate and use all computer applications, including practice management systems, EMRs, internet-based applications, and standard office applications.
- Assist patients at check-in, including confirming and entering patient demographics into the practice management system, assisting with consents, forms, and obtaining copies of identification and insurance cards.
- Document and call no-shows, ensuring accurate and timely communication with patients and staff.
- Assist patients at check-out, including collecting and posting payments from deductibles, elective procedures, and cosmetic treatments, assisting with product sales, and scheduling follow-up appointments as directed by providers and clinical staff.
- Scan completed fee tickets into patient charts at the end of each visit, ensuring accurate and up-to-date patient records.
- End-of-day fee ticket, batch submission, and cash reconciliation with the highest degree of accuracy, maintaining accurate financial records.
All front desk staff are logged in daily into the communication portal, staying in close contact with the call center to ensure seamless communication and patient support.
Process and submit medical records requests in accordance with HIPAA guidelines, maintaining patient confidentiality and compliance.
Distribute faxes as received to appropriate parties, ensuring timely and accurate communication.
Relay updates and information between patients, staff members, and providers as needed to maintain a smooth patient flow and provide timely service to patients.
Qualifications and Skills:- Healthcare experience preferred
- Minimum High School diploma or equivalent
- Minimum 1-year prior customer service experience
- Proper demeanor for a Dermatology office
- Prior experience in a Dermatology office setting a plus
- Bilingual - Spanish speaking a plus (not required)
- Detail and outcome-oriented
- Able to handle a multitude of tasks in a sometimes ever-changing environment
- Effective at listening, understanding, clarifying, and responding to questions and concerns raised by patients
