Position Overview

The Mailing and Logistics Coordinator serves as the key liaison for mailing services at the designated USPS contract station. This role is essential in orchestrating a variety of mailing and shipping solutions for the university community, collaborating closely with both Addressing & Mailing Services and Printing Services to deliver informed, timely, and economical options for walk-in clientele.

Key Responsibilities
  • Customer Engagement (50%)
    • Deliver comprehensive mailing, shipping, and logistics services to students and staff, encompassing domestic and international USPS mail processing, package shipments, stamp sales, and returns.
    • Uphold exceptional customer service standards by leveraging extensive knowledge of USPS regulations, timelines, and pricing structures; address inquiries from both staff and students effectively.
    • Provide direct consultation to walk-in customers, offering guidance and recommendations to facilitate informed mailing and shipping choices.
    • Ensure accurate processing and documentation of all transactions, utilizing point-of-sale systems and maintaining necessary records.
    • Participate in mailing industry seminars and training to stay updated on USPS guidelines and best practices.
    • Maintain a clean and professional workspace.
  • Operational Coordination (30%)
    • Keep precise inventory records of all mailing and shipping supplies.
    • Collaborate with local USPS representatives to seek information, resolve issues, and manage outgoing mail pickups.
    • Train and oversee student staff, coordinating schedules to optimize support for full-time personnel.
    • Work in tandem with the Digital Print Center staff to manage shared student roles effectively.
    • Develop strategies and adjust workflows to maintain high service levels during peak periods.
  • Effective Communication (20%)
    • Engage in clear communication with internal staff, USPS personnel, and university members to ensure seamless execution of mailing services.
    • Advise university departments on mailing concerns and foster strong professional relationships with customers.
    • Communicate effectively with student staff, holding them accountable while being attuned to their unique needs.
    • Interact positively and respectfully with colleagues and customers alike.
Essential Functions

Advise customers, manage mailing and shipping requests, guide student staff, and ensure a high standard of customer service.

Qualifications

Minimum Requirements: BA/BS degree and a minimum of two years of experience in mailing, logistics, or customer service, or a combination of relevant education and experience totaling six years. Proven ability to deliver outstanding customer service.
