Job Overview

POSITION SUMMARY

The Retail Operations Specialist is accountable for overseeing all back-of-house activities. This role involves processing clothing donations, monitoring inventory requirements, supervising backroom volunteers, and managing all operational aspects behind the scenes. The Specialist collaborates closely with the Store Manager and Warehouse Manager to foster a productive, efficient, and positive atmosphere that aligns with the mission, vision, and values of Clothes To Kids.


Key Responsibilities
  • Leadership: Ensure backroom volunteers are well-trained, engaged, and motivated; resolve conflicts and make informed decisions.
  • Time Management: Train and guide both adult and youth volunteers, manage inventory levels, greet donors, and maintain high-quality merchandise on the sales floor.
  • Technical Skills: Proficient in using software applications such as Word, Excel, Adobe, and the CTK shopping database.

Inventory Management
  1. Track deliveries and document in-kind donations and clothing drives.
  2. Supervise and train backroom volunteers of all ages.
  3. Oversee the emptying of the outside donation bin.

Backroom Coordination
  1. Sort and label incoming merchandise.
  2. Restock and manage merchandise inventory levels.
  3. Handle mending and laundry tasks.
  4. Select additional items as needed.

Volunteer Engagement
  1. Understand volunteer roles and train new volunteers for regular backroom tasks.
  2. Collaborate with the store team to coordinate group volunteer requests and scheduling.
  3. Build strong relationships with volunteers and ensure accurate sign-in and hour tracking.

Store Maintenance
  1. Restock, organize, and tidy the store daily.
  2. Conduct quality checks in accordance with Clothes To Kids procedures.
  3. Assist the Store Manager with the upkeep of the store, including cleaning and maintaining displays.

Cross-Training and Support
  1. Perform basic tasks on the Clothestrack (CTK Database), including appointment scheduling.
  2. Serve as a backup supervisor in the absence of the Store Manager.
  3. Work collaboratively with the management team on both back and front of store operations.

Development and Outreach
  1. Document and follow procedures for acknowledging in-kind donors.
  2. Participate in and promote organizational events and collection drives.

Qualifications
  • Must be at least 18 years old.
  • High School diploma or equivalent; a bachelor’s degree is a plus.
  • Successful completion of background screening is required.
  • Previous retail experience is preferred but not mandatory.
  • Strong customer service and communication skills are essential.
  • Able to multitask and manage challenges in a dynamic environment.
  • Willingness to work a flexible schedule, including weekends.
  • Physical ability to lift up to 25 lbs. occasionally and perform various physical tasks.

Represent Clothes To Kids by assisting shoppers in identifying their needs and guiding them in selecting appropriate wardrobe items, all while upholding the mission, vision, and values of the organization.


Additional Responsibilities: Perform other duties as assigned.
About Clothes To Kids:

Clothes To Kids provides new and gently used clothing to low-income or in crisis school-age children at no cost. Students eligible for free or reduced-price lunch or facing crises can shop at Clothes To Kids. The organization is funded through community donations and has distributed over 210,000 wardrobes since its inception.
