The successful candidate will perform clerical functions related to staffing and the Nursing Office, assisting in staffing on a daily basis. They will work in a dynamic environment that requires customer service and clerical skills, supporting the nursing department by coordinating and participating in activities such as scheduling, daily shift reporting, position control, timecard management, and other payroll processes.

The ideal candidate will have a high school diploma or equivalent and 3+ years of previous secretarial and administrative experience. Experience with electronic medical record systems is preferred. Qualified candidates must be able to effectively communicate with all levels of the organization.

NYU Langone Health provides a comprehensive benefits package and a salary range of $33,672.00 annually. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.

Required skills and experience include:

  • Acts as a resource to nursing leadership for scheduling and payroll systems.
  • Maintains downtime forms including staffing sheet and downtime sick log.
  • Records sick calls in logbook, schedules and staffing sheets, notifies unit and leadership.
  • Prepares companion list, calls for coverage and transcribes to staffing boards.
  • Prepares overtime availability sheets and confirms based on staffing guidelines or leadership request.
  • Sources supplemental staff as indicated by staffing guidelines. Works collaboratively with nursing leadership to assure adequate staffing.
  • Prepares and distributes daily staffing reports and other reports as assigned.
  • Maintains accuracy of MyTime transfers (Job Location, Labor, Work Rules, 13th Shift, Overtime, Preceptor, Charge, etc).
  • Timecard exception investigation and correction (Missed punches, inaccurate paycodes, missing/inaccurate transfers, etc).
  • Prepares and circulates time and attendance related reports (late, emergency personal day, late sick call, no call no show, etc).
  • Verifies and maintains Roster accuracy (Default unit, assigned shift, pay rule).
  • Assists with maintenance of staff credentials.
