Vaco is seeking an experienced Administrative Support Specialist to join our team. As an Administrative Support Specialist, you will be responsible for providing administrative support to our clients and ensuring the smooth operation of our office.
Key Responsibilities- Mail Services: Sort and deliver incoming mail, interoffice mail, and overnight mail and packages, post outgoing mail and deliver to post office pickup point prior to posted USPS pickup times, including certified mail and outbound overnight mail, pick up internal mail.
- Printing Services: Print and bind financial reports and other documents, run large photocopy projects.
- Supply Management: Maintain relationships with supply vendors, keep track of inventory of office and printed supplies and recommend orders as appropriate, ensure new hires have basic printed supplies, such as business cards and name tags.
- Facilities Management: Serve as liaison to building maintenance by assisting in assessing facility improvement opportunities (needed repairs, routine maintenance, etc.), set up office/workspace or cleanout area, as required, for new hires/terms, maintain relationships with vendors who support the physical office and office equipment, serve as first-level support for troubleshooting facilities and office equipment issues.
- Food and Beverage Services: Order peak season meals and other meals and beverages, as requested, identify and keep a file of menus for places that will deliver meals.
- Meeting and Event Services: Set up/clean conference and meeting rooms.
- Education: High School Diploma or equivalent; completed coursework from an accredited college/university is preferred.
- Experience: 1 year or more of experience in a professional office environment preferred.
- Skills: Excellent MS Office skills (Word, Excel, and Outlook).
