Position Summary:

The Wholesale Operations Coordinator plays a crucial role in facilitating the daily operations of the Credit Operations Department. This position requires collaboration with the Dealer Credit Department to ensure exceptional service delivery.

Key Responsibilities:

  • Deliver outstanding customer service to dealers, manufacturers, and internal departments regarding wholesale accounts and dealer financing.
  • Address inquiries, investigate issues, and resolve discrepancies effectively.
  • Process new business transactions on a daily basis.
  • Review incoming requests for accuracy and compliance with established guidelines.
  • Assess the value of used vehicles or equipment utilizing retail value guides or online resources.
  • Initiate funding processes (check, wire, or EFT) and ensure timely completion, accurately entering new business into the wholesale system.
  • Notify the Accounting team of any discrepancies or potential imbalances.
  • Identify and categorize incoming payments from wholesale and dealer loans.
  • Prepare checks according to the appropriate zones and general ledger for deposit processing.
  • Examine daily wholesale processing reports for accuracy.
  • Compare new business entries and incoming payments with previous transactions to identify and resolve discrepancies.
  • Investigate and rectify credit balances and small unit balances.
  • Process refunds and collect outstanding small balances from relevant parties.
  • Resolve unmatched cash items and review duplicate financing reports to determine necessary actions.
  • Communicate with relevant parties to facilitate payoffs.
  • Alert the Dealer Credit team of any issues or potential dealer-related concerns.
  • Monitor insurance coverage for wholesale accounts and dealer loans, ensuring updated binders are collected.
  • Review insurance binders for appropriate coverage and terms based on loan specifications.
  • Track and manage MSOs or titles for designated accounts, ensuring proper documentation.
  • Release MSOs and titles promptly upon full payment.

Qualifications:

  • Education: High School Diploma or GED.
  • Technical Skills: Proficiency in Microsoft Word and Excel.
  • Experience: Minimum of 2 years in Customer Service and at least 1 year in Payment Posting or Processing.
