The New York City Charter School of the Arts is seeking a highly organized and detail-oriented Enrollment Associate to support our mission of inspiring a diverse community of young people through arts-based learning.

Key Responsibilities
  • Maintain and optimize the student enrollment process, including community outreach and communication with prospective and current families.
  • Serve as the primary point of contact for prospective and current families, providing exceptional customer service and support.
  • Support daily office operations, including data entry, student services, and school-wide initiatives.
Reception and Enrollment Management
  • Answer and direct all incoming calls, demonstrating brand reputation and standards.
  • Maintain enrollment data flow systems and prospective family funnel systems.
  • Coordinate enrollment events and arrange school tours for prospective families.
  • Respond to all student inquiries and maintain applicant tracking systems.
  • Prepare and send out acceptance, waitlist, and rejection letters.
  • Collect and process enrollments.
  • Develop relationships with community organizations and feeder schools.
  • Create and send regular updates to interested families.
  • Ensure smooth onboarding of new students.
  • Assist with school website updates and creation of brochures and info packets.
  • Coordinate and travel to recruitment events, feeder schools, CBO outreach, tabling, fairs, etc.
Main Office Support
  • Assist with data entry and maintain student services office forms.
  • Input and maintain accurate student data in student information systems (SchoolMint and Alma).
  • Assist with daily office operations and ensure completion of routine tasks.
Facilities and Logistics Support
  • Assist with classroom/facility furniture adjustments for testing or events.
  • Manage audiovisual equipment for presentations and performances.
  • Set up and break down events, including arranging furniture and equipment.
Other Professional Duties
  • Maintain a Junior Ops Schedule and task list.
  • Perform regular school duties such as hall, elevator, and lunchroom monitoring.
  • Help organize and participate in community events and education fairs.
  • Assist with inventory related to enrollment (ordering and monitoring).
  • Adapt to changing needs and priorities in a dynamic school setting.
  • Other operational tasks as assigned by the Director.
  • Maintain punctuality when arriving to arrival, passing, and dismissal posts.
  • School-based NYC DOE systems experience preferred.

The ideal candidate will be highly organized, detail-oriented, and committed to supporting the unique mission of the New York City Charter School of the Arts. This individual should have excellent communication skills, be proficient in data management, and be able to multitask effectively in a fast-paced environment.
