Position Purpose:

The Front Desk Clerk is essential in maintaining an organized office environment in line with established policies and procedures. This role involves ensuring the well-being of clients and visitors, facilitating interactions with family members, and assisting clinical staff with various clerical tasks.

Key Responsibilities:

  1. Adhere to scheduled work hours and be available for additional hours as needed.
  2. Welcome clients and visitors, process payments, and manage opening demographics and paperwork within the Electronic Health Record (EHR).
  3. Maintain accurate scheduling logs, including referral and intake schedules.
  4. Answer and appropriately direct phone calls, including making reminder and prescription calls.
  5. Handle internal and external mail distribution.
  6. Conduct financial interviews with clients and update client information in the database.
  7. Review clinical data and communicate any discrepancies to supervisors.
  8. Maintain logs for visitors, prescriptions, and intake.
  9. Review logs for doctor's appointments and ensure the office is closed according to clinical protocols.
  10. Assist the office support team as required.
  11. Perform other duties as assigned.

Qualifications and Skills:

  • High school diploma or equivalent.
  • Strong customer service orientation and skills.
  • Experience with phone systems or switchboards.
  • Basic understanding of mental health principles.
  • Excellent organizational and multitasking abilities.
  • Effective communication skills.
  • Ability to work independently as well as part of a team.
  • Proficient in Microsoft Office applications.
  • Typing and ten-key skills with a minimum typing speed of 35 words per minute.
