The Project Coordinator plays a vital role in supporting the assigned Project Manager and Project Executive in overseeing all administrative and technical aspects of designated construction projects. This position involves assisting in various tasks related to contract management, change orders, submittals, procurement, and project financial setups, ensuring that projects are executed with quality, profitability, safety, and timeliness in mind. A constant emphasis on meeting and exceeding client needs is essential as the Project Coordinator supports the Project Manager across all project dimensions.
Essential Duties & ResponsibilitiesPre-Construction- Assist in pre-construction activities, including:
- Maintaining a database of subcontractors
- Compiling bid documents for pricing
- Conducting document takeoffs and reviewing specifications
- Organizing takeoffs and bids from subcontractors
- Developing clarifications and Requests for Information (RFIs)
- Reviewing subcontractor durations for project scheduling
- Creating and updating scope sheets for pricing
- Participating in meetings with architects and owners
- Drafting qualifications and assumptions for contracts
- Establishing accepted value engineering and alternative pricing.
- Ensure comprehensive market participation for all project trades.
- Maintain required documentation lists.
- Prepare and update baseline schedules with input from the project team.
- Assist the Superintendent with project documentation and daily reporting.
- Generate and maintain logs for subcontract agreements and purchase orders.
- Review and manage shop drawings and submittals.
- Verify subcontractor insurance certificates for compliance.
- Price and generate proposed change orders.
- Issue, submit, and track Requests for Information (RFIs).
- Maintain and monitor all permitting requirements and approvals.
- Prepare updates to the project schedule with input from the project team.
- Coordinate and schedule meetings with subcontractors.
- Obtain and track warranty certificates from subcontractors.
- Compile information and assemble closeout manuals.
- Establish relationships and communication channels with suppliers and key personnel to ensure timely delivery of materials and resources.
- Ensure the security of the project site and company assets while fostering a safe and respectful work environment through the implementation of safety, risk management, and quality control programs.
- Communicate effectively with suppliers and subcontractors to ensure adherence to performance standards related to schedules and specifications. Address performance issues in coordination with the Project Manager.
- Attend all planning, progress, and closeout meetings to discuss project concerns.
- Assist in coordinating all contractual requirements, design drawings, and project specifications, including:
- On-site project management
- Project coordination and controls
- Construction billing and cash flow projections
- Job cost analysis
- Adherence to project schedules
- Documentation of meeting minutes
- Procurement of as-built documents
- Punch list management
- Cost tracking and job costing
- Support the Project Manager and Project Executive with additional responsibilities as needed.
- Degree in construction management or a related field is preferred.
- Demonstrated ability to manage multiple projects in a fast-paced environment.
- Understanding of construction terminology, estimating, purchasing, scheduling, and planning concepts.
- Strong written and verbal communication skills.
- Excellent time management and organizational abilities.
- Ability to maintain confidentiality and discretion at all times.
- Strong interpersonal skills and capacity to work with cross-functional teams.
- Proficiency in computer applications, including the Microsoft Office suite.
