As a key member of the finance team, the Lead Accounts Receivable Analyst will report directly to the Controller and play a pivotal role in overseeing the entire billing cycle and accounts receivable operations for the organization. This position is essential for ensuring precise and timely invoicing while also guiding the billing team towards achieving operational excellence.

The responsibilities include the preparation of intricate monthly service invoices, which encompass various billing structures such as fixed fees, percentage completions, and hourly billing. The Lead Accounts Receivable Analyst will facilitate monthly billing discussions with Project Managers, ensuring that all required information is gathered promptly to issue complete and accurate invoices by their respective deadlines.

In addition, this role involves the management of accounts receivable, which includes diligent follow-ups with clients for collections and the resolution of any related discrepancies. A strong understanding of accounting terminology, transaction codes, and billing procedures within an ERP system tailored for the professional services sector is crucial for success in this position. This role is structured as Temp to Perm and requires daily onsite presence.

DUTIES AND RESPONSIBILITIES

  • Oversee the establishment of project files, billing terms, and associated details in the ERP system.
  • Generate and distribute bi-weekly General Time Reports to Project Managers and execute labor transfers as instructed.
  • Prepare and scrutinize client billings utilizing the ERP system and relevant reports.
  • Create final billing reports for Project Managers and upper management.
  • Issue monthly invoices to clients and collaborate with Project Managers on contract billing matters.
  • Analyze and input subcontractor invoices in accordance with agreements.
  • Ensure accurate recording of client payments against the correct projects.
  • Manage month-end closing processes and revenue generation within the billing module.
  • Track resource utilization and maintain precise documentation.
  • Provide training to Project Managers on ERP procedures.
  • Prepare special accounting reports as required.
  • Address both internal and external billing inquiries and review aging receivables for resolution.
  • Monitor receivables reports and escalate issues to avert billing delays and overdue accounts.
  • Submit invoices to third-party payment platforms and resolve related challenges.
  • Identify and implement process enhancements for improved efficiency and accuracy.
  • Support system upgrades and participate in testing phases.
  • Assist with annual audit requests by supplying necessary documentation.
  • Serve as the subject matter expert in project billing processes and guide business partners.
  • Handle ad hoc requests and additional responsibilities as required.
  • Manage accounts receivable, including proactive follow-up with clients for collections.
  • Resolve accounts receivable and collection challenges to ensure timely payments.

QUALIFICATIONS

  • Bachelor's degree in Accounting, Finance, or a related field.
  • A minimum of 5 years of practical billing and accounts receivable experience in a corporate setting.
  • Prior experience in professional services such as public accounting or management consulting is highly desirable.
  • Proficiency in ERP systems, with a preference for experience in Deltek Vision, as well as CRM systems and resource management applications.
