Position Overview:
The Staff Accountant plays a crucial role in the financial operations of Newlines Institute, overseeing a variety of accounting responsibilities. This position encompasses the management of accounts payable, the processing of payments, and the administration of semimonthly payroll. The Staff Accountant will also be involved in reconciling general ledger accounts as part of the monthly closing cycle.

Key Responsibilities:
  • Payroll Management: Collect and review both paper and electronic timesheets to ensure accurate semimonthly payroll processing.
  • Maintain payroll deductions, earnings, deferrals, and withholdings for all personnel.
  • Track and maintain PTO accruals and other leave programs, ensuring accuracy in records.
  • Address employee inquiries regarding timesheets, salary calculations, and leave balances.

Accounts Payable:
  • Process vendor invoices, ensuring proper coding to relevant projects, departments, and general ledger accounts.
  • Execute timely payments, including checks and wire transfers, while resolving any billing discrepancies or misapplied cash transactions.
  • Review, post, and settle monthly employee expense reports.
  • Manage corporate credit card transactions, ensuring accurate coding and timely payments.
  • Handle general ledger journal entries related to accounts payable and maintain vendor records, including annual 1099 reporting.

General Accounting:
  • Reconcile general ledger accounts monthly, ensuring accuracy in all transactions and updating supporting schedules as necessary.
  • Generate and analyze financial reports from the accounting system.
  • Prepare reconciliations for assigned general ledger accounts as requested by auditors, providing necessary documentation for year-end financial audits.
  • Participate in special projects and initiatives, offering general support as required.

Qualifications:
  • Bachelor's degree in accounting, finance, or business administration from an accredited institution; a master's degree is preferred.
  • A minimum of two years of experience in accounts payable, accounts receivable, and payroll.
  • Strong accounting background with proven analytical, problem-solving, and reporting skills.
  • Demonstrated knowledge of generally accepted accounting principles (GAAP), including nonprofit/fund accounting.
  • Familiarity with accounting software, particularly QuickBooks, Great Plains, and Sage Intacct.
  • Experience with payroll systems, especially PayChex, Paylocity, and ADP.
  • Advanced proficiency in MS Office, particularly Excel and Word.
  • Excellent verbal and written communication skills in English, facilitating effective interaction with various stakeholders.

Salary Range:
$75k – $80k
