Job Title: Administrative Assistant

We are seeking a highly skilled and experienced Administrative Assistant to join our leadership team at JB Consulting Systems. As an Administrative Assistant, you will provide critical support to our leadership group, ensuring seamless day-to-day operations and contributing to the success of our organization.

Key Responsibilities:
  • Project Tracking: Monitor progress on tasks and projects, create calendar holds, and follow up on deadlines as needed.
  • Meeting & Event Coordination: Organize and book meetings, conferences, and in-person gatherings, providing administrative support including document retention and meeting planning.
  • Support: Assist with travel arrangements and scheduling, act as a liaison for obtaining signatures and other executive needs, and manage master calendars and PTO tracking for subsidiaries as needed.
  • Marketing & Communications: Collaborate with Comms to assist in creating basic marketing materials to support project initiatives and company branding, facilitating communication via phone, email, letters, and in-person interactions with clients, vendors, building management, and employees.
  • Office Management: Provide general office support, including managing supply inventory, sorting and routing mail, greeting visitors, and managing conference rooms, maintaining digital file systems, and identifying and implementing administrative systems and procedures to streamline office operations.
Requirements:
  • Bachelor's Degree preferred; High school diploma with additional work experience may be a substitute.
  • 5+ years of experience in an administrative role, preferably in a commercial construction or engineering firm.
  • Experience in event planning and project management is a plus.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational skills and the ability to manage multiple priorities effectively.
  • Excellent communication skills, both written and verbal.
  • Attention to detail and a high level of accuracy in all tasks.
  • Ability to work independently and collaboratively within a team.
  • Knowledge of project management principles and terminology is a plus.
  • Flexibility and adaptability to meet changing priorities and deadlines.
  • Self-starter with a positive, team-oriented attitude with ability to independently develop viable solutions to problems as they arise.
  • Gracefully handle pressure to remain a constantly reliable resource to management.
