Weichert Companies is seeking an experienced Administrative Support Specialist to provide critical support to our sales office in Sparta, NJ. The ideal candidate will be responsible for ensuring the smooth operation of our office, including processing real estate transactions, managing our MLS and OSSii systems, and providing administrative support to our Sales Manager.

Key Responsibilities:
  • Transaction Processing: Follow company guidelines to process real estate transactions on behalf of our Sales Associates, ensuring timely submission to the Central office.
  • MLS and OSSii Management: Enter listings and relevant data into the MLS, audit information to ensure accuracy, and perform monthly reporting.
  • Office Administration: Assist with daily office administration, including scheduling open house activities, ordering supplies, and managing the vendor file.
  • Customer Service: Provide exceptional customer service, including greeting customers, directing calls, and responding to inquiries.
  • Administrative Support: Provide administrative support to our Sales Manager, including running reports, maintaining the office roster, and preparing correspondence.
Requirements:
  • High school diploma or GED
  • Associate's or Bachelor's degree preferred
  • One to two years of related office administration experience required
  • Previous real estate office experience preferred
  • Ability to obtain a working knowledge of Weichert proprietary and related real estate systems
  • Proficiency in Microsoft Office suite of products
  • Strong oral and written communications skills
  • Ability to multitask in a fast-paced environment
  • Ability to handle confidential material in a professional, highly ethical manner
  • Strong attention to detail
  • Strong customer service skills
  • Basic math skills including addition, subtraction, multiplication, division, percentages, and fractions
  • Knowledge and ability to use typical office equipment
