Position Overview

Salary: $15-$20 DOE

Role Summary:

Under the guidance of the Executive Director, the Executive Administrative Assistant will be responsible for a variety of tasks aimed at supporting the organization's leadership and operations.

Key Responsibilities:

1. Support for the Board of Directors:

  • Coordinate logistics for in-person and virtual meetings for the Board of Directors.
  • Communicate essential details to Board members regarding meetings, including agenda preparation, timely distribution of information, and minute-taking.
  • Assist in scheduling subcommittee meetings and calls.
  • Provide general assistance to the Board, maintain contact lists, and manage executive documents.
  • Organize travel arrangements and reimbursements for Board members as needed.
  • Maintain accurate records of Board minutes and agendas.

2. Administrative Duties:

  • Draft correspondence, reports, and financial documents for the Executive Director.
  • Support Human Resources with recruitment efforts and data entry into various systems.
  • Participate in agency committees to enhance internal and external operations.
  • Keep updated contact lists of funders and partners, and maintain a central file of contracts and correspondence.
  • Provide information to facilitate efficient workflow within the office.

3. Social Media Management:

  • Implement a strategic approach to social media engagement.
  • Create and curate compelling content for social media platforms and the agency's website.
  • Ensure a consistent brand voice across all communication channels.
  • Engage with users and address inquiries, directing them to the appropriate department.
  • Develop and distribute the agency's newsletter.

  • Flexibility, organization, and strong time management skills are essential.
  • Ability to work independently and take initiative.
  • Personal transportation is necessary.
  • Excellent written and verbal communication skills are required for preparing reports and presentations.
  • Ability to work collaboratively within a team environment.

  • Must pass background checks and substance abuse tests.

Education and Experience:

  • Preferred: Bachelor's degree in Business Administration with two years of relevant experience; or an Associate's degree with three years of experience.
  • An equivalent combination of education and experience may be considered.

  • Physical demands include the ability to sit or stand for extended periods and perform tasks requiring mobility and coordination.
