Overview:
The Human Resources File Clerk plays a crucial role in the organization by managing personnel records and ensuring efficient retrieval of documents as required. This position demands a proactive approach to maintaining an orderly filing system and supporting a high-volume work environment with professionalism and courtesy.
Key Responsibilities:
- Efficiently file all documents in a systematic and organized manner, adhering to alphabetical order.
- Establish new files as needed to accommodate incoming documentation.
- Retrieve and provide information from files in response to inquiries.
- Locate and remove files upon request to facilitate access to necessary information.
- Organize materials into storage solutions, such as cabinets and bins, based on classification.
- Review incoming documents to determine appropriate classification and filing methods.
- Sort and categorize information according to content, purpose, and order.
- Monitor materials taken from files to ensure their return.
- Maintain cleanliness and organization of filing and storage areas.
- Perform faxing and photocopying of documents as required.
- Ensure files are readily accessible in designated areas.
- Prevent loss of materials within the filing system.
- Provide guidance on the filing system to colleagues.
- Assist in procuring office supplies as needed.
- Restock office equipment with necessary materials.
- Occasionally cover reception duties as required.
Qualifications:
- Positive demeanor and enjoyment of teamwork.
- Exceptional communication abilities.
- Proficient in computer applications including Word, Excel, and Outlook.
- Typing speed of at least 45 words per minute.
- Bilingual proficiency in Spanish and English.
- Capacity to manage multiple tasks and handle substantial workloads.
- Ability to meet deadlines effectively.
- Quick learner with adaptability.
- Availability to work standard hours, including some weekends.
