Position Overview

The Billing Operations Analyst is tasked with ensuring the prompt and precise invoicing of client accounts. This role involves maintaining accurate inventory records for all transportation assets and ensuring that documentation is systematically organized and updated.

Key Responsibilities

  • Calculate billing transactions and invoice designated shipments.
  • Confirm the correctness of billing information by cross-referencing relevant documentation. Make necessary corrections before finalizing daily invoices.
  • Record sales transactions in the designated system.
  • Handle credit adjustments and rebilling for bills of lading, clients, and the finance department.
  • Address inquiries received via email.
  • Examine fuel inventory records to verify accuracy.
  • Manage third-party billing processes.
  • Oversee Zaymat billing procedures.
  • Compile daily profit reports and implement adjustments as required.
  • Reconcile fuel inventory data with associated sales orders, driver documentation, and bills of lading.
  • Modify fuel inventory records to reflect new bills of lading, overall inventory, and necessary adjustments in collaboration with operations staff.
  • Engage with internal teams to gather essential documentation for reconciliation tasks.
  • Support month-end closing activities, including fuel reporting and any additional invoicing requirements.

Qualifications

  • Availability for a five-day work week, including required weekend hours.
  • Standard working hours: 7:30 AM - 4:00 PM in-office.
  • Proficient in Microsoft Outlook, Word, Excel, Nitro Pro, and logistics management software.
  • Ability to interpret and clarify inventory data and necessary adjustments.
  • Detail-oriented with exceptional organizational, analytical, and multitasking capabilities.
  • Exhibit strong interpersonal skills.
