Commercial Vessel Operations Coordinator

This position is responsible for coordinating and administering day-to-day commercial vessel operations, ensuring compliance with the agreed Time Charter and Voyage Charter terms and with applicable guidelines and regulations.

Key Responsibilities:

Agent Division

  • Act as general agents for controlled vessels calling in North and South American countries, coordinating among concerned parties such as parent company, vessels, and local agents for approximately 20-30 ships from Valemax to handy sized vessels.
  • Collect and keep the parent company posted updated information in case of any change on port regulation/tariffs.
  • Check port information and port charges in accordance with requirements from the parent company or co-workers in Chartering Division.

Operation Division

  • Perform general vessel operations (3 to 5 mainly handy sized vessels) including but not limited to preparing voyage instructions to the vessel/agent referring to Time and Voyage Charter Parties.
  • Arrange fuel or other supplies as necessary.
  • Discuss stowage plans with the Captain of applicable vessels considering various restrictions.
  • Monitor ship movements, contact agents, shippers, or receivers, and negotiate with concerned parties for the utmost quick dispatch at any port call.
  • Contact the parent company or Vessel's Owners as necessary for Owners' issues, Bills of Lading, port disbursement, and forwarding vouchers to the parent company.
  • Issue freight invoices and make laytime calculations, taking care of them until settlement.
  • Monitor financial results of chartering operations of assigned voyages and report any issues to supervisors.
  • Business trips to supervise loading/discharging operations or other purposes if necessary.

Other Responsibilities

  • Help or check translations of company booklets issued by the parent company as required.
  • Attend meetings with customers, agents, or other parties related to shipping as appropriate.
  • Assist co-workers when necessary or required.

Qualifications

  • Bachelor's degree in a Maritime-related major is required.
  • More than 3 years of similar experience.
  • Proficient skills in MS Office.
  • Ability to calculate figures and amounts such as addition, subtraction, multiplication, and division.
