Portfolio Operations Manager
POSITION SUMMARY
The LEASE UP COMMUNITY MANAGER is accountable for overseeing all aspects of onsite operations, including staff management, occupancy targets, marketing strategies, and competitive analysis.
This role requires effective collaboration with construction teams, development groups, and external vendors throughout all project phases.The ideal candidate will be a motivated self-starter with a robust leasing background. A passion for the industry and exceptional leadership skills are essential.
Preferred qualifications include a minimum of 2 years in Property Management and experience in Lease Up operations.
KEY RESPONSIBILITIES
1.) Train and oversee the performance of all team members under your supervision.
2.) Comply with all company personnel policies as outlined in the operations manual.
3.) Collaborate with the Regional Operations Manager, Regional Accounts and Compliance Specialist, and leasing consultants to analyze competitive advertisements, promotions, and pricing; utilize this data to create effective marketing and advertising strategies for the property. Know when to propose rent adjustments.
4.) Approve all leases, addendums, and renewals. Communicate with residents in writing regarding any issues related to their tenancy.
5.) Manage rent collection, deposit monthly receivables, issue delinquent notices, and prepare eviction notices as necessary.
6.) Verify the completion of work orders and follow up with residents to ensure satisfaction.
7.) Assist in the development of resident retention initiatives and rental pricing structures. Implement strategic planning to achieve occupancy objectives and financial success for the property.
8.) Adhere to all relevant company accounting guidelines, including:

d. Daily/Weekly Vacancy Reports
e. Oversee the property’s revenue and expenses while adhering to and formulating the operational budget.
9.) Solicit competitive bids from contractors for various tasks and supervise their execution.
10.) Conduct inspections of apartments prior to new occupancy.
11.) Ensure residents enjoy a clean, safe, and well-maintained community.
12.) Assist in maintaining budgetary controls and reporting variables; including the formulation of long-term plans.
13.) Develop and implement resident appreciation and social programs, and engage actively within the community.
14.) Report any accidents or incidents to the corporate office promptly and prepare necessary documentation.
15.) Ensure all maintenance requests are addressed immediately and inform residents if delays are expected due to parts ordering.
16.) Regularly inspect the property for potential improvements, documenting deficiencies and taking necessary actions within budget constraints.
17.) Establish schedules and assign staff for routine maintenance, emergency coverage, and preventative maintenance.
18.) Supervise, motivate, support, and assist other employees on the property.
19.) Follow all directives from the Director of Operations of the Management company.
20.) Participate in meetings, programs, and seminars related to property management and applicable laws governing apartments.
21.) Perform all other duties as assigned.
