Job Summary

This position requires a highly skilled executive assistant who can support in a program coordinator/program manager type role. The ideal candidate should be proficient in gathering and disseminating information, with a strong understanding of knowledge management principles. Experience in a high-demand, high-visibility executive assistant advisory role is highly desirable.

Key Responsibilities
  • Work closely with the commander and staff to filter and integrate essential information, creating situational awareness and facilitating timely decision-making.
  • Identify areas where information is stove-piped and not effectively shared, using established battle rhythm processes.
  • Facilitate the creation of new or improved business rules for managing information flow to the Commander, ensuring informed decision-making.
  • Act as the main point of contact for the Command Battle Rhythm, coordinating with headquarters, customer, and supporting commands to ensure unified representation.
  • Manage USINDOPACOM's meeting category battle rhythm, ensuring approved agenda items flow properly and maintaining awareness of priority issues.
  • Track meeting flow, ensuring consistency and proper categorization of topics.
  • Maintain an understanding of each board's battle rhythm governing documents.
  • Communicate daily with board facilitators, reiterating and articulating board outcomes.
  • Review command applications, ensuring approved updates are applied to battle rhythm documents.
  • Meet weekly with the Deputy Chief of Staff, presenting top agenda items and re-prioritizing based on availability.
  • Update and submit applicable BR calendars to the DCOS.
  • Monitor and note issues with information flow, conducting research and providing recommendations for improvements.
  • Provide quarterly input and recommendations to the DCOS on creating and automating BR efficiencies.
  • Facilitate a quarterly BR working group, identifying missing links and gaps in information flow.
  • Coordinate BR working groups, including invitations and publishing meeting minutes.
  • Review governing documents annually, notifying the board facilitator, chairperson, and DCOS of required updates.
  • Maintain a centralized location for all BR documents, ensuring current governing documents are readily available.
Requirements
  • Bachelor's degree and seven (7) years of experience.
  • Additional relevant experience may be substituted for a degree.
  • Government and/or DoD experience in supporting operational knowledge management processes.
  • Experience in a high-demand, high-visibility executive assistant advisory role.
  • Demonstrate executive level written and verbal communication etiquette and skills.
  • Experience and ability to coordinate and integrate ideas from multiple sources.
  • Experience and ability to direct and re-direct information flow in large and small groups.
  • Speak, read, write, and understand the English language.
  • Experience with Microsoft Office programs, specifically Outlook, Word, PowerPoint, Excel, and SharePoint.
  • Familiarity with DoD/DoN environment, including acronym use, proper chain of command, and executive staff functions.
  • Possesses competencies in prevailing Knowledge Management best practices.
Clearance and Citizenship
  • Must be a US Citizen.
  • Must have Top Secret clearance.
